Event Planner - Redmond, WA

Position Summary — This position is responsible for the development, implementation and administration of group tours offered to WorldMark Owners for credits and/or cash through Out of Network Benefits and TravelShare in accordance with the strategic goals and objectives defined by Management. Responsibilities also include hosting a wide variety of tours and events as required. 1.  Duties & Responsibilities -   Fully responsible from inception to post-travel management of events and tours.  Includes:  Maintain awareness of tour operator’s group policies and procedures, unique features, itineraries and amenities.  Participate in the selection of itineraries and tour operators. Block group space, reviewing group contracts for accuracy. Develop pricing for tour offers, either in credits or cash, build and load product in Iris, the WorldMark reservations system.  Process group deposits and final payments.  Develop and document booking processes and procedures.  Provide accurate information to booking agents about all tours and cruises; provide booking forms and information sheets. Create and maintain detailed spreadsheet for each group.  Communicate offers and booking details to staff.  Maintain accurate statistics and forecasts for credit programs.  Ensure that all credit generating offers are within budgeted amounts  In collaboration with team members and travel management, establish annual events and tours, develop and maintain event calendar detailing payment due dates, open for sale dates, and Destinations Magazine advertising dates. Develop ads and articles for Destinations Magazine; coordinate with magazine staff on timely placement of ads. Maintain accurate and updated information on the WorldMark website.  Participate in the creation of promotional email blasts.  Manage coop advertising agreements with vendors, ensuring all advertisements are in compliance with vendor requirements.  Assist in resolution of customer service problems.    Lead tours, trouble-shoot & resolve problems, cater to Owners’ needs & requests1.  Minimum Qualifications Required - Describe the amount and type of education and experience required to perform the essential job functions, including any required certifications or professional licenses: 2 years proven customer service experience. Intermediate level skill in Microsoft Office applications, including Excel. 2.  Preferred Qualifications — Describe any additional education and experience that you would like to see in this position, but that is not required for the position:  Knowledge of Wyndham Vacation Ownership, WorldMark, and the IRIS reservation system.
