Who we are seeking

A detail orientated, high-energy Office Administrator for our STAMFORD, Connecticut office.  We need a TEAM PLAYER to assist our Meeting Planning Project and Associate Project Managers, with a great sense of humor who is willing to work hard, but in a fun environment with a team of people who are inspired to deliver exceptional service in an exceptional way –the “Universal Way”.

 

Responsibilities

To be a welcoming face and voice for Universal when interfacing with clients, suppliers and other visitors. To provide general administrative support to all staff in the Indianapolis Office to aid the smooth running of the Universal business, including:Stationery ordering and stock controlFacility management of officesTelephone call managementPhotocopier and printer managementManagement and distribution of general postDHL/UPS/Job number management of externally distributed mailSpecific aspects of Health & SafetyManagement of cell phone policy & procedureManagement of group holiday & birthday listsBooking of conference rooms, airport transfers and hotel accommodation for visitorsGeneral reception duties as required by Account DirectorAttendee management support of Operations Team when required

 

Required SkillsMinimum of 1 or 2 years customer service backgroundExcellent verbal and written communication skills Superb organizational skillsIntermediate knowledge of Microsoft Word and ExcelAn eternally positive, “can-do” attitude, even under high pressureThe ability to multi-task whilst retaining your sense of humor, level of accuracy and team spirit
