The field assistant provides a broad range of clerical support activities to field office management and sales team in the fast paced field office environment. The position is accountable for various clerical level support of sales, marketing, and service initiatives using an array of support skills. While supporting the field office, this position has interaction with brokers and/or clients. Principal Duties and Responsibilities Sales and Marketing Support Prepares mailers for distribution Prepares presentation materials for broker/client appointments. Organizes meeting materials Types memos, letters, and other correspondence for external constituencies on behalf of the management team and sales consultants Supports maintenance of the ACT database Various data entry duties to support overall sales and marketing activities Coordinates room set-up for broker/client meetings held in the field office. Assist with office event planning. Organizes meeting materials Orders and maintains marketing materials for the field officeField Management Support Develops various sales and service operating reports, routine and adhoc, for sales, service and field management. This involves querying various systems and using tools such as VISTA, CME, TME and RAMM Provides support in maintaining lists to support office book of business and tracking by sales consultant and account manager Schedules and organizes personal calendars for DSAs and/or Market Managers. Fields incoming calls from brokers and/or clients Prepares manuals, agendas, and correspondence for the management teamExpense Management Support Provides general support for office budgeting Coordinates review of bills and submits check requests for operating expenses Completes and submits expense reports. Tracks travel expenses for sales consultants and account managers Researches specific expense transactions as neededOffice Infrastructure/Operations Support Supports Regional Business Manager with all local operational needs as directed Supports LAN and IT administration needs including assistance with Help Desk follow up on issues Handles LAN back up process. Orders and maintains supplies for the field office Support day to day office building issues, such as lights, temperature, and cleanliness Support copier and printer maintenance Support mailroom management (organizing, sending and receiving mail) Receptionist duties as required. Maintain employee phone list Coordinates mail and fax distribution, as well as office photocopy work, and office filing Instrumental in developing processes for these functions Coordinates local phone system changes Strong PC skills and high level of knowledge of Microsoft products Strong communication skills—verbal, written, and listening High degree of professionalism and confidentiality Ability to work with varying levels of management Ability to manage multiple priorities and meet deadlines Strong organization skills and highly attentive to details. Proven track record for accurate work. Excellent customer service skills and focus. Takes initiative and is highly responsive. Works well in an energized team environment.
