Unit Manager- Mailroom (1:00-10:00 pm)
Plans, organizes, leads, controls, and coordinates all activities in Mail Services. This Unit is responsible for, but not limited to opening, sorting/prepping, scanning, verifying, filming, and id'ing all Client's incoming mail. Distributes internal communications and prepares and sends all outbound mail. Preferred candidate should be familiar with Verification workflow. 1. Participates in the development of short and long term goals for Mail Services. 2. Participates in the administration and monitoring of designated parts of an operational budget, which may include payroll tracking and managing staffing levels.3. Communicates approved policies and procedures to work group s and ensures compliance. Recommends change to policies and procedures as necessary and may participate in the development and implementation of such changes. Effectively communicates with the Operations Manager so that they are informed of all necessary information regarding associates, homeowners, and client-implemented changes.4. Hires, develops, evaluates, and (when necessary) disciplines and discharges personnel or makes authoritative recommendations in such matter. Develops function-specific orientation and training programs for work group. Participates in establishing standards for effective job performance and evaluates associates according to such standards. 5. Demonstrates the ability to coordinate the workflow of a large number of associates in a multi-client environment. Must be knowledgeable of client service standards to ensure work is distributed appropriately and that all client standards are met on a daily, weekly and monthly basis. Responsible for the accuracy of client performance reports.6. Maintains records related to work group performance, attendance, expenditures, etc. Prepares or assists in the preparation of related reports. May conduct or participate in the analyses and resolution of operational problems. Specific records/reports requirements include daily associate production reports, timesheets, annual reviews, and tracking of temporary associate performance. 7. Responsible for the development, implementation, documentation, and monitoring of an ongoing quality assurance program for Mail Services.8. Works with local vendors to ensure that all letter opening equipment, i.e. Agissar and Slicer are well maintained, operating safely and appropriately for maximum performance and efficiency.9. Receives and investigates all complaints concerning Mail Services and its personnel; determines veracity of such and (as necessary) takes corrective or disciplinary action and/or prepares reply.10. Directs the preparation of records as well as recurring and special reports and analyses for Mail Services ensuring that they are complete, accurate and prepared on time. Reviews and interprets these in order to ascertain the extent to which goals are being attained. Takes corrective action as necessary. 1. Education: Associate's degree and/or equivalent work experience is required. 2. Experience: Two to three years of supervisory experience. Mailroom management experience preferred. 3.
