POSITION SUMMARY:
Please note the shift for this position will be Saturday, Sunday from 4 a.m. to 1 p.m., or Saturday, Sunday from 8 p.m. to 5 a.m.
This position is responsible for the accurate and timely coordination of Conflict of Interest Searches (COIS) as part of the New Business Intake process of the firm. The role is comprised of a combination of clerical, administrative and coordination duties. Responsibilities include assisting in the development of new COIS procedures, training individuals and achieving a high quality work product. Must also work as a team player and maintain a good rapport with co-worker(s) and internal clients.
ESSENTIAL FUNCTIONS:Work with and provide assistance to the Firm's Business Intake Supervisor and Director in matters related to the conflict search process.Assist the Business Intake Supervisor and Director in the evaluation of new technologies for conflict of interest identification.Assist the Business Intake Supervisor and Director with the training of time-keepers on improvements to the conflict search request and results process.Complete assigned COIS accurately and in a timely manner.Review Elite search results and ascertain that appropriate results have been reached.Interpret the results of a COIS and be able to intelligently explain results to internal clients, including the "related party" names and codes used in the Conflict Database.Recognize and understand the inconsistencies of data in the Elite system and search accordingly to achieve the best result.Train co-workers to perform COIS searches.Ability to answer questions with regard to the new workflow process in attaching COIS and Elite Search results to the New Business Memoranda, and if unable to provide assistance, refer them to the appropriate person.Assist internal clients with questions regarding the use of Relationship Codes when completing a COIS.Monitoring the CONFLICTS mail box.Assist in presentations to internal clients regarding COIS requests and procedures.Assist in writing procedures for COIS to benefit both the Conflicts Department and internal clients.Devise emergency procedures to be followed when faced with equipment failure and downtimes.Providing support and answer questions concerning the COIS system, as well as providing assistance to individuals requiring a preliminary Conflict of Interest Search.
JOB REQUIREMENTS:
Education:
College degree or equivalent experience preferred.
Experience:
Two years of law office experience, preferably in conflicts or new business intake.
Skills:
Strong clerical skills including typing, proofreading, spelling and grammar. Knowledge of PC and Windows applications. Must be able to organize and prioritize workload and use own judgment in decision making on how to adequately and efficiently meet all deadlines. An ability to understand and follow specific and detailed instructions. Must display a professional manner with clients, attorneys, paralegals and other staff members. Must be able to make productive use of working hours and exhibit strong time management skills.

Must be able to operate personal computer, electronic shelving and other office equipment such as telephone, typewriter, calculator, fax machine, printers, copier, etc.
Typical Physical Demands:
Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, telephones and other office equipment. Requires normal range of vision.
Typical Mental Demands:
Must be able to deal with stress associated with a fast paced work environment, including handling the demands of multiple tasks on a daily basis. Must be able to work well as a member of a team and make judgment decisions and handle daily responsibilities with minor supervision, and must be able to handle routine responsibilities in the absence of the supervisor/manager. Must be able to adapt to changing work situations and grasp and apply new ideas. Must be able to relate and interact with people at all levels within the Firm as well as with other from outside the Firm (outside vendors).
Working Conditions:
Works in a typical office setting. Occasionally called upon to work overtime.
