POSITION SUMMARY:
Acts as initial point of contact on behalf of the firm. Responsible for operation of telephone switchboard, greet clients and visitors to the firm, schedule and maintain conference rooms. Monitors office security during office hours. Provides backup support to the Records Management Department as well as other general duties as requested
ESSENTIAL FUNCTIONS: Greets clients and visitors to the FirmOversees schedule and maintenance of all conference rooms, coordinating efforts with the Hospitality and Office Services DepartmentsAnswers main switchboard including overflow callsCommunicates staff absences, etc., to HR Department and Business Manager each morningAssists with clerical overload including time keeper time entry using DTE, preparing letters and other miscellaneous correspondence and assisting with mass mailings as requestedInteracts with building Tenant Line regarding miscellaneous office maintenance mattersAssigns SETEC security cards to visitors and new employees as requestedProvides backup support to the Records Management departmentOrders food for meetingsCoordinates materials for CLE meetingsMiscellaneous general duties as directed by the Business Manager and Human Resources Manager
REQUIREMENTS:
Education:
High School Diploma or its equivalent.
Experience:
3-5 years receptionist experience in a professional services environment.
Skills:
Excellent communication, spelling and grammar skills, professional appearance, excellent phone etiquette skills and ability to type at 50 wpm. Ability to interact with clients, vendors and all levels of office personnel. Ability to articulate clearly, both orally and in writing. Ability to present self in a professional manner in person and over the telephone.
Knowledge of Word and Excel.

Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machine and so on.
Typical Physical Demands:
Sitting for prolong periods of time. Manual dexterity sufficient to operate standard office machines. Normal range of hearing and vision.
Typical Mental Demands:
Able to deal with stress associated with fast-paced work environment. Communicate with various personalities at all levels.
Working Conditions:
Works in a typical office setting. Occasionally called upon to work overtime.
