JOB DUTIES:
Provide the Director of Administration and the Operations Manager with administrative support on an as needed basis for all Administration, Operations, and Facilities matters. Demonstrate organizational and interpersonal skills as well as excellent judgment and attention to detail. Exhibit flexibility to adapt to ever-changing environment, and maintain high level of discretion and confidentiality at all times. Work will include, but is not limited to: answering phones and distributing messages as necessary, maintaining and updating department files, creating spreadsheets using Excel and documentation using Word, processing data entry at high volumes with quick turnaround, proofreading, processing bills and expenses including vendor invoices, coordinating all visiting attorney office assignments, managing temporary key cards process, assisting Facilities and Conference Services Departments when needed with conference room scheduling and utilization of Workspeed, researching and editing invoices to ensure proper payment, updating the lobby directory and Facilities floor plan with office vacancies monthly to reflect new hires and departures.
QUALIFICATIONS:
Must be specifically listed on resume in order to be considered for this position:
· High school diploma or GED required
· 5 years minimum Administrative Assistant experience
· MS Word and Excel experience required
ADDITIONAL QUALIFICATIONS:
Strong assessment ability and interpersonal skills as well as strong oral and verbal communication skills preferred for interaction with all levels of staff and attorneys. Ability to work independently, as well as part of a team to manage a variety of work situations. Ability to work in ever-changing work environment. Strong attention to detail and proofreading skills. Ability to maintain strict confidentiality at all times. Flexibility to work extended hours as needed.
