Executive Assistant - Career opportunity

As an Executive Assistant you will work out of our busy corporate headquarters in Beverly Hills. You must be highly motivated and a self-starter capable of taking initiative and working independently or as part of a winning team. This entrepreneurial and fast-paced opportunity will keep you on your toes.

You will be supporting the CFO; Vice President, Learning & Development; and the Managing Director, Sales, as well as partnering with the Administrative Manager on internal company projects. The ideal candidate is looking for a long-term relationship, and will have at least 5 years of office experience supporting senior level executives.


Duties include:

· Managing communication for the Executive Officers. Dealing with in-coming telephone calls and ensuring messages are passed on or caller transferred to appropriate staff member.
· Creating client correspondence and proposal letters, candidate resumes, position specifications, candidate questionnaires, and references.
· Organizing HR and learning programs within the firm.
· Assist with attracting new clients, support the business development and marketing efforts by creating marketing presentations in PowerPoint, and help generate and coordinate client meetings.
· Reviewing candidate and client surveys for completeness and enters data into a spreadsheet, analyzes data and creates presentations.
· Generating reports on company metrics and business development. Mass mailings including business development materials, announcement cards for new consultants and seasonal mailings. Deals with in-coming mail (including electronic mail) and wherever possible drafting responses, distribution of mail to managers as appropriate.
· Maintains schedule and makes travel arrangements including itinerary, organizing flights, and hotel accommodations.
· Performing light mail duties (shipping and receiving).


Additional requirements include:

· Must possess strong analytical problem solving capability, demonstrate sound judgment, and be able to meet deadlines while managing multiple projects.
· Ability to take ownership of the role and complete accountability.
· Demonstrate flexibility and a strong desire to learn and to accept new challenges.
· Possess basic business acumen defined as familiarity with common industry, function and financial terms.
· Ability to work well under pressure to meet deadlines. Excellent organizational skills and be detail oriented.
· Strong proofreading skills.
· Advanced level of proficiency with software programs including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and with a contact management program (preferably GoldMine).
