Finance and Administration Manager

POSITION TITLE: Finance and Administration Manager

POSITION REPORTS TO:    President




 

PRIMARY JOB DUTIES: include the following. Other duties may be assigned.

 

Under the direction of the President, the Finance and Administration Manager is responsible for financial reporting and management and the administrative functions at GCA.

 

Finance

 

1.  Management Reporting – Responsible for all finance, accounting, tax and reporting. Responsible for accurate and timely consolidated financial statements and management reports for the company. Accountable for monthly financial package preparation including budget vs. actual reports, P&L analysis, Balance Sheet information.

 

2.  Budgeting and Forecasting - Prepare and monitor budget in conjunction with senior management. This includes budgeting and forecasting for operating and capital purposes, treasury and cash management and cash flow forecasting and special project analyses as needed. Develop detailed financial plan and model in accordance with company strategic plan. 

 

3.  Financial and Accounting Controls – Manage all entities’ accounting including general ledger, financial reporting, payables, etc. Monitor and assess accounting systems and controls and implement accounting policies, controls, and procedures. Insure compliance with policies and procedures. Maintains the company’s system of accounts (general ledger, A/P, payroll and revenue) and keeps books and records on all company transactions and assets, which are maintained on Quickbooks.

 

4.  Tax Planning and Compliance – Manage annual tax filing process, as well as work with outside CPA’s on tax planning and compliance.



5.  Accounts Receivable and Payable - Manage accounts payable aging. Manage account receivables, allocating funds to correct accounts.  Follow-up for collection, if necessary.

 

6.  External Lender/Partner Relations – Manage banking relationships, and assorted office services vendors.

 

7.  Pension Plan – Manage the firm’s 401k and Pension plans and assure adherence federal regulations with 3rd party administrators.

 

8.  Organizational Development & Business Strategy – help management team build strategic plan and help to development business plan.  Help with organizational development of the company and staff. 

 

 

 

Administration

 

1.  Manage all aspects of GCA’s administration, including facilities,  and reception, including the supervision of positions and/or vendors related to these functions.

 

2.  Manage the GCA facility, including lease and equipment negotiation, space relocation, and all related matters.

 

3.  Oversee Timeslips software and QuickBooks software. Serve as main support for software issues and questions.

 

4.  Oversee office procedures, filing practices, and administrative workflow.



5.  Manages human resources programs, policies and procedures to ensure consistency with applicable laws, that they are well understood by the employees, and that they are competitive and cost effective. Oversee hiring of new staff members.

 

6.  Evaluates and implements cost effective insurance programs, including health, workers’ compensation, and general liability.

 

Supervisory Responsibilities: Supervises administrative and accounting staff.

 

QUALIFICATIONS:7 years experience managing an accounting and/or administrative group MBA or CPA is highly desirableExtensive experience with Quickbooks; high degree of computer literacyExperience negotiating leases and implementing office movesAble to prepare detailed budget analyses, summaries, and management reportsEffective project management skillsAbility to work in fast paced and rapidly changing environment.  Knowledge of and experience with the human resources functionSuperior business judgment and analytical skillsOptimism, enthusiasm, and high energy that translates into positive actionDemonstrated ability to recruit, train, motivate and manage staff Strong communication and interpersonal skills
