The Senior Administrative Assistant will work as an integral part of theFoundation team, providing primary support to the Director of Public Affairs andworking closely with other members of the Foundation team. The role of PublicAffairs is to work towards advancing the Foundation’s mission through strategicoutreach to the media, policymakers, stakeholder groups and the public.

The Sr. Administrative Assistant will perform a range of administrativeactivities, ranging from office administration and organizational assistance tocorrespondence and meeting planning and scheduling
Primary Duties and Responsibilities of the Senior Administrative Assistant:

1. Manages calendar for Director of Public Affairs, scheduling appointments,arranging meetings, coordinating travel and preparing travel reimbursementexpense forms

2. Provides administrative support to Foundation, Public Affairs Director andPublic Affairs team.
3. Assist the Public Affairs Director and team with correspondence, mailings andproofreading of documents.
4. Assist with special meetings and event planning, including development ofmeeting documents and collaboration with event planners to coordinate meetinglogistics

5. Support creation of contracts with vendors and consultants; facilitatesprocess of on-boarding new consultants

6. Maintain smooth office operations by performing general administrativefunctions, such as developing and maintaining files, updating contact lists,sorting and distributing mail, operating general office equipment and orderingsupplies



7. Respond to phone and email communications in a prompt and courteous manner,referring inquires to appropriate staff as necessary

8. Works collaboratively and participates in cross-disciplinary teams withcolleagues at the Foundation

9. Identifies potential system and process improvements and workscollaboratively to implement changes
10. Participate and represent the Foundation at outreach events and other publicrelations events.
11. Completes additional tasks as assigned by Director

High School diploma or GED and four years administrative experience orequivalent combination of education and experience.

Extensive knowledge of administrative support procedures and office equipment.

Fully proficient with Microsoft Office applications (Word, Excel, PowerPoint,Outlook). Adobe Photoshop and InDesign experience a plus.

Strong written and verbal communication skills.

Strong multi-tasking and problem solving skills.

Good organizational skills.

Communication: Presents ideas clearly in written and oral communication.

Relationships: Establishes and maintains successful relationships with bothinternal and external partners based upon mutually agreed upon expectations.
