We have an immediate opening in our Baltimore office for a top-notch Administrative Assistant.This is an exciting full-time opportunity for an Administrative Assistant with a minimum of 3-5 years experience. Position will be focused on supporting consulting staff, senior management and admin staff. MUST be a TEAM PLAYER and have the ability to multi-task with a positive attitude toward customer service. Primary responsibilities will include answering main phone line and routinely checking main voicemail throughout the day, routing calls, providing information, etc. Additionally, this person must be able to receive, review, and route incoming mail and maintain incoming express mail log. Prepare a variety of documents, operate word processing and computer equipment. We are looking for someone high energy, who is pro-active, detail oriented, highly motivated, flexible, and personable for this position, and someone who can deal with a variety of personalities. Additional Responsibilities:- Process all U.S. outgoing mail- Process all express delivery (FedEx) mail, including packaging and handling, must be able to do heavy lifting at times.- Keep the office equipment maintained, the office area organized and user friendly- Assist in maintaining the office library- Create and maintain a directory of office personnel- Assist with the distribution of industry publications and orders- Assist with filling all client deliverable orders - Assist with maintaining inventory and control of all client deliverables and materials- Assist administrative team with overflow work and become cross-trained- Fill-in for admin when other team members are out of office- Maintain office supplies- Maintain kitchen area- Responsible for maintaining office inventory and filingPosition Requirements: - Candidates must possess a minimum of 3-5 yrs' admin/secretarial experience supporting multiple people. - Knowledge of MS Word, PowerPoint and Excel necessary - Ability to type min. 65 wpm - English-Language grammar skills and phone manner a must - Working knowledge of how to conduct basic searches for subject matter over the Internet - Experience with the database functions of Lotus Notes is a plus. - Must possess demonstrated experience in document reproduction and coordination- Strong communication and grammar/editing skills needed. - Attention to detail and stable work history a must! - HS diploma or equivalent required - Ability to multi-task and conform to tight deadlines - Ability to work overtime on an as needed basis.- Hours 8:30 to 5:30 The company offers competitive compensation packages including an incentive compensation plan, comprehensive medical/dental/life insurance, 401(k) and employee stock purchase plans.
