Training Coordinator/Project Coordinator/Executive Assistant

JOB TITLE:   Training Coordinator/Project Coordinator/Executive Assistant  (Full or Part-Time)

 

DEPARTMENT:  Operations

 

REPORTS TO:  Operations Manager

 

SUMMARY: 

 

Responsible for overseeing the scheduling and coordination of workshops, including logistics, securing facilitators, setting up facilitator briefings, printing and shipping of materials, after workshop follow-up and liaising with clients throughout the process.  Also, may be required to assist with varied administrative projects.

SKILLS/EXPERIENCE:

 

Proven Customer Service experience

Strong attention to detail and well organized

Able to handle multiple projects and priorities in a professional way

Able to plan workload / manage repeatable and ad-hoc projects

Able to consistently meet deadlines

Proactive in resolution of problems and issues

Self-starter

Excellent oral and written communication skills

Able to effectively and clearly present information and respond to questions

Above average computer, Office, and administrative skills

Competence with Windows and Microsoft Office products

5+ years previous experience in Business-to-business environment

 

KNOWLEDGE:

 

Understand policies and practices

Familiarity with training materials

Ability to interpret and adhere to client contract terms and conditions

 

DUTIES:

 

Receive and interpret client requests

Confirm facilitator availability

Create responses to client requests

Liaise with various client contacts and account manager

Schedule and conduct facilitator and session briefing calls

Review client workshop packet for completeness and accuracy

Send out pre-work training materials to client/participants

Provide weekly reports, update master calendar of workshop events and maintain other associated documentation

Liaise with Travel Coordinator and client to provide information for international travel/visas for facilitators when applicable

Print and ship applicable workshop materials

De-brief facilitators after workshop has been conducted

Obtain participant counts from workshop facilitator and provide information for invoicing

Review and adhere to client contract terms and conditions

Provide input to improve processes and reduce operating costs

Proof-read documentation

Participate in various projects, as assigned

Personal executive assistant duties, as required

 

EDUCATION:

 

Some college education preferred
