Administrative and Buyer Clerk

MB Dynamics, Inc. is a small Bedford Heights, Ohio based manufacturer of vibration technologies to help find and fix root causes of squeaks and rattles, the No.1 warranty concern of automotive companies.

We need to fill one position with an exceptional person having a variety of skills and 2-5 years of recent, full-time clerical experience equivalent to the duties of an Administrative Clerk.

Administrative and Buyers Clerk

 

DEFINITION:

Under minimal supervision, performs widely varied and increasingly responsible clerical duties of an administrative nature in areas such as Sales, Accounting, Purchasing, Engineering and Customer Service that will include filing, typing and/or keyboarding.

 

DISTINGUISHING CHARACTERISTICS:

Strong interpersonal skills required with the ability to think independently, resolve conflicting interests and obtain cooperation. Excellent communication skills required to effectively communicate with all levels both internal and external. A self-directed, self-starting, detail oriented individual. An energetic person with the ability to prioritize and multi-task numerous duties. Must also possess good work ethics.

 

 

EXAMPLES OF DUTIES:  Responsible for Buyer support, assisting the Buyer in updating allocation data, relieving inventory and performing file rebuilds on a PC in INMASS as Sales Orders are shipped; purchasing office supplies, equipment and services; and performing related duties as required.Files information alphabetically, numerically, and chronologically according to department procedure to maintain organized and accurate filing systems throughout the company. Maintain indexes for classification. Review files periodically to ensure they are complete and correctly classified. Sort material to be filed according to particular filing systems. File material in drawers, cabinets, and storage boxes. Locate and remove materials from files when requested. Keep records of materials filed and removed. Label files according to retention and disposal schedules and prepare files for disposal.Assists as a departmental receivables clerk, calling customers accounts payable departments for their scheduled payment dates to MB.Performs as a departmental payables clerk, daily typing checks from internal requests for payment and vendor invoices as directed.Receives, sorts and distributes incoming mail to employees. Folds and stuffs documents to process outgoing mail. Sends mail using the U. S. mail system, on-line FedEx, UPS, etc.Prepares time cards for employees.Prepares product manuals for distribution to customers.Assists in assembling trade presentation materials for distribution.

 

 

KNOWLEDGE AND ABILITIES:

Skilled in operating office equipment such as a calculator, personal computer, typewriter, printer, copier and fax machine; Skilled in entering data accurately in INMASS and on checks; Skilled in organizing files and prioritizing work; Knowledgeable of small purchase procedures; Ability of providing office services to each department; Ability of being accurate in all aspects of performance.

 

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent and 2-5 years of recent, full-time clerical experience equivalent to the duties of an Administrative Clerk.
