Billing Specialist – Core & Retail Business

 

 

Hours:             8 a.m. - 5 p.m.

 

Job Summary:  The Billing Specialist holds a key position within the company as the information entered by this person affects all other aspects of the business including accounting, inventory, shipping, and ultimately the customer.  Heavy data entry is required when entering customer orders taking into account special pricing and product specials which can change daily.  The ideal candidate must have an understanding and working knowledge of accounting, a strong aptitude for accuracy and detail and be able to proof-read his/her own work.  This position has a training period of approximately 4 months.

 

Essential Functions: Work closely with Account Specialist teammate to maintain area Enter and download orders daily Check orders – review P.O.’s with acknowledgements to ensure accuracy Invoice daily both in Bona’s system as well as an outside EDI provider Process/research sales credits and freight claims on a weekly basis File, stuff and mail invoices Track orders Research customer service issues for distributors and sales reps as needed Answer questions regarding pricing, discounts and current promotions and take phone orders for distributors as needed Keep territory updated and pull the area report weekly UPS upload Daily margin report Ensure orders ship/arrive within shipping windows Research and resolve charge-backs in a timely manner Backup for other Billing Specialists

 

 

Qualifications: Excellent organizations skills Strong, flexible work ethic and high attendance standards are a must Ability to problem solve, motivated self-starter Detail-oriented Analytical  Ability to prioritize and meet deadlines while handling interruptions and working under pressure Ability to communicate and interact effectively with partner, colleagues and management to achieve company goals Ability to accept constructive criticism and offer feedback Initiates work during slow times without being asked Takes notes and references them Take calls from Sales Reps and occasional customer calls Personable and courteous Well-spoken Excellent follow-through in a time sensitive atmosphere                      Available for overtime if needed Experience working with retail customers a plus Computer Proficiency (MS Office (Word and Excel), Data Entry, 10 Key)
