Job Summary: Order entry, acknowledgement and revision.  Review packing list against orders, and prepare shipping documentation. Communicate with freight forwarders and distributors to make proper shipping arrangements.



Education Level: 

 

High school diploma or equivalent.

 

Qualifications and Experience:



 

Must be detail oriented. Have good computer and organization skills. Previous international shipping experience is helpful.  Fluency in Spanish is highly preferred.





 

Principal Duties and Responsibilities:



 

· Review orders in detail, and enter them into database browser.

 

· Prepare order acknowledgments and send them to the customers.

 

· Make order changes per production or customer request and send the order changes to relate plant/plants. Acknowledgment of the changes with the customer.

 

· Check packing list against order acknowledgment and revisions to make sure that all items are packed correctly.  Prepare credit release, commercial invoice, Inland Bill of Lading or Courier Air Waybill, Shippers Letter of Instruction, Certificate of Origin, and special L/C documents.

 

· Analyze Letters of Credit on receipt.  Advise distributor if amendment is required. Contact advising Bank if necessary.  Prepare shipping documentation in compliance with Letter of Credit.

 

· Work with freight forwarders to get freight quotations for prepaid shipments, or book the container shipments. 

 

· Communicate with distributors for any issue that relates to their order. Inform the customers about their shipment status.

 

· File all shipped orders in a timely manner.

 

· Update Customer Information Sheets in DocBuilder, AS400, FedEx shipping address (if applicable), abbreviated phone list, fax speed dial list, list of distributor names, master distributor list and/or list of distributor correspondence addresses.

 

· Help with other duties in the department as needed.
