Provide administrative support to the Strategic Planning department, including the SVP and VP.  Prepare PowerPoint presentations, make travel arrangements, manage calendars and perform other administrative duties as needed. This position requires a detail-oriented individual who will represent the organization at and to all levels – internal and external in a positive, courteous and professional manner.  The person in this role must be able to multi-task, be flexible and exhibit accuracy while working with details. Schedule meetings and manage/maintain executives’ calendars. Make business travel arrangements (air, hotel, ground).  Verify all arrangements, ensuring “start to finish” coordination and coverage. Provide internal and external meeting coordination (includes coordinating participant communications and availability, as well as location and catering arrangements). Arrange and coordinate conference calls. Prepare and submit expense reports.  Resolve all T&E discrepancies. Create & maintain contact database for executives’ contacts. Prepare PowerPoint presentations for Strategic Planning group. This will be one of the primary responsibilities of this position and will include producing high quality, error-free slides using strategy graphics software and incorporating company standards; coordinating slide production with strategy group members; accountability for overall quality control of entire presentation (proof slides and ensure consistency in layout and design, understand and translate data into most concise format for slides, organize and distribute presentation materials). Responsibility for Strategy group operations and files, including file organization and maintenance, manipulating data into concise formats for spreadsheet, and assisting strategy team with data collection, research, and analysis where appropriate. Minimum of 3 years experience as an Administrative or Executive Assistant.  Three years experience working in corporate environment preferred. Administrative Assistant experience in strategic consulting a plus. Bachelor’s degree in Liberal Arts, related field or an equivalent combination of education, training and experience. Strong PowerPoint skills, proficiency in using Microsoft Word and Excel, proficiency with e-mail (Lotus Notes experience is a plus). Ability to meet deadlines, exercise good judgment, prioritize assignments, and juggle multiple tasks simultaneously.
