Export Services Manager
Description & Purpose
Export Services will be the critical focal point for providing the full range of customer service and logistical expertise in support of International business development, including management and execution of ordering and replenishment, logistics and transportation, labeling, documentation, and applicable government regulations. Export Services will interact with, and gain the necessary support of, other internal departments including customer service, sales, quality assurance, R&D, credit, operations, distribution, and transportation. Export Services will also interface with International customers, foreign offices, ocean carriers, freight forwarders, customs brokers, government agencies, and others as required to fulfill International orders in a timely, high quality, and cost-effective manner.
This position will be responsible for all International export services. The initial focus is on Mexico and Asia, but activity also includes Europe, Australia/New Zealand, and Middle East.
Essential Job Functions
1. Lead the development of key business processes related to export business; continuously monitor those processes to ensure compliance and adjust to meet the ever changing needs of the export business.
2. Participate in the establishment of customer quotes and ensure that all requirements are finalized prior to the execution of the order management process.
3. Participate in the development of a formal freight forwarder network that meets the ongoing needs of the export business. Continuously evaluate the performance of the freight forwarders to proactively address any issues.
4. Research new country requirements, educating the sales force and the functions within supply chain on those requirements. Develop processes to continually monitor existing countries’ changing requirements.
5. Actively participate in the automation of master data, key business processes and the upgrade of the order management system related to the export business.
6. Lead a weekly cross-functional team to monitor export performance, identification of new processes and changes to the business.
7. Develop and manage critical key performance indicators to ensure the success of the export business.
8. Provide expertise on all customer and country required documentation. This includes, but is not limited to, pro forma invoices, commercial Invoices, packing lists, letters of credit, bank drafts, shippers export declaration/electronic export information, shippers letter of instructions, Free Trade (NAFTA) Certificates, Certificates of Origin, Certificates of Analysis, “Food” Re-Export Certificates, USDA certificates, Proof of Delivery, Bills of Lading.
9. Coordinate the execution of USDA, CFIA, FDA regulations and related customer requirements required for food-grade products.
10. Develop and maintain positive relationships with all functions involved in the export process, addressing any system, process, or logistical issue that may arise.
11. Effectively communicate and educate customers, sales staff, and related internal departments to achieve compliance with Export Services processes for new customers, new products, etc.
12. Monitor International product lines making recommendations to expand and/or delete slow selling items (inventory management and cost savings).
13. Provide day-to-day assistance on compliance with the Export Administration Regulations (EAR) and OFAC Regulations.
14. Stay abreast of and ensure compliance with any government program, additions, or changes to the regulations.
15. Initiate periodic audits, assessments or reviews of export control systems and develop procedures for measuring compliance internally and of vendors (freight forwarders-agents).
16. Other duties as assigned.
Education, Experience and Skills:
§ Bachelor's degree - business degree desirable
§ Five to seven years experience in Export Service or similar function for a global organization required; at least two years at the management level desired. Previous experience in operations, logistics, customer service, or other related functions desirable.
§ International consumer product experience and technical acumen as related to food products.
§ Understanding of forecasting and planning.
§ Must have excellent technical, analytical and computer skills (proficiency in MS Office applications.)
§ SAP ERP system experience a plus
§ Strong written and verbal communications skills.
§ Excellent work ethic. Strong commitment to delivering exceptional quality and customer service. Highly organized professional, who can motivate diverse teams to achieve a common goal. Self-starter with a track record of management success. Ability to work well under pressure imposed by aggressive sales goals.
§ Bilingual (Spanish) a plus
