With sales topping $185 million, exciting new products, 14 US sales offices, as well as International locations, we are a leading Manufacturer of Ergonomics and Ergonomic solutions. We are seeking an Office Manager in San Francisco, to support our growing sales team.
SUMMARY:
The Office manager reports directly to the District Sales Manager. The position is responsible for all administrative tasks within the district office. The Office Manger is responsible for all of administrative staff within the office including the administrators and installers – this includes responsibility for the staff’s work produced, general performance, and attendance.
The Administrative team supports the sales staff within local district. They are also responsible for maintaining professionalism within the office, providing excellent customer service and daily interaction within the company.

Essential Duties and Responsibilities:
Essential duties include the following (other duties may be assigned to meet business needs). Order processing - on a daily basis (includes tagging the orders correctly – approving AR – scanning/faxing with complete and accurate information for order entrySales Support – providing information on orders and tracking, being a liaison to the factory and Denver, compiling reports as needed – and any other requests as needed.Processing Returns – coordinate with customer, sales rep and factory to facilitate the returns of products.Accounts Receivable Monthly Log – On a weekly basis maintain a predetermined amount of calls to customers to obtain promise to pays and/or researching of any billing issues on accounts – Evidenced by reports sent weekly to Regional ManagerAdministration Staff and Installation Team Management - responsible for all aspects of their performance, work produced, and attendance. Includes monthly performance report completion and mentoring/counseling as needed.Reports - Submission of various monthly and weekly reports as requestedTimesheets - Complete all installer and Admin timesheets on a bi-weekly basisFiling - Create and Maintain filing system for all Direct and Dealer orders.Literature - Maintain a supply and Humanscale literature inventoryCustomer Service – Manage all aspects of customer service provided by the office as well as dealing with difficult situations and client complaints.Customer Service – Ensure all staff responds promptly and professionally to all internal and external customer needs.24 hour turnaround time – applies to order processing – request resolutions – email response times – scheduled installations - Installation Schedules – Manages installers and schedule to complete any installation of Humanscale product.HR/ payroll - Work closely with Regional Office Manager on HR/ payroll issues including recruiting, coaching, new hire paperwork, timesheets, and installer expenses.Office Cleanliness – Responsible for general appearance of the office and cleanliness – may include removal of boxes, coordinating with sales people to clean up work areas, etc. Accountability – Office Managers will be held accountable for all administrative/customer services functions of the office. They will “own” all their tasks or issues.
EDUCATION/EXPERIENCE
High school diploma; college degree preferred; five years related management experience is a must – experience in a large corporate/office environment is desired. COMPUTER SKILLS
Microsoft Office – Excel/Word/PowerPoint/Outlook – (intermediate or advanced skills only); MAS200 – knowledge a plus
