Administrative Support

- Travel arrangements for Members of the Operations Team

- Scheduling/Arranging Meetings

- Expense Statements for Staff

- Printing of RFQ’s, CDA’s and routing assistance

Operations Assistance

- Input/population/compilation of Supplier Report Card/Key Performance Indicator Stoplight charts – requires proficiency w/ Excel and is time sensitive

- Review discrepancies kicked out of SAP for payment/invoicing and research/define potential reasons/solutions

- Review monthly Warehouse Invoices for billing according to contract agreements

- Completing the monthly Other Variable Cost Report – Extract data from SAP to Excel, and transfer of this data to Power Point slide presentation (system is already set up to accomplish)

- Review of the OVC data and provide a first pass explanation of changes – some knowledge of the logistics area used to provide some initial explanation of trends or changes in the data (knowledge can be developed through time on the job)

- Maintain route codes in SAP

- Maintain the rate tables in SAP corresponding to the routes

- Set Up annual purchase order requisitions for Logistics contracts

- Send out reminders of overdue completion of customer complaints using Salesforce.com software

- Input of data elements into a new Salesforce.com application managing Special Quality Requirements for our products

 

 

 

Background Required

- High School Degree

- 3-4 years previous experience as administrative assistant

- Proficient in Excel, Microsoft Office Applications

- This job requires the manipulation of numbers in excel spread sheets, and a reasonable proficiency in basic mathematics is necessary to complete the Operations Assistant tasks

- Prior experience in Logistics/Distribution/Supply Chain/Procurement is a plus
