Receptionist/Office Clerk

DescriptionAnswer multiple phone lines for 4 different locations on Cisco IP Phone System plus:Handle all inquiries within capacity Arrange 'callbacks' to protect boss’s time Provide back-up materials for callbacks Route calls elsewhere as needed Do phone inquiries as needed Supplies information to callers, relays messages and announces visitorsSorts and distributes incoming and outgoing mail. Maintains weekly and monthly calendars plus company newsletter. Routinely re-order department supplies.Update mail/phone directories Assists the HR department as follows: Assembles new hire packets, filing, and distributes monthly newsletters. Creates and maintains both Word and Excel documents.

Provide high-level administrative support by: conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings, coordinating and/or managing appointments, assist in organizing travel arrangements (Prepare itinerary, expense report tools and complete expense reports).

 Requirements

 

Equivalent to completion of two years of college-level coursework in business or a field related to the work and at least two years of office administrative experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.

Must have excellent verbal and written communication and interpersonal skills; Bilingual helpful.

Proficiency in Microsoft Word and Excel.

Accurate typing skills; typing speed at least 45 wpm.

Ability to work independently with only general direction.

Goal oriented.
