We are recruiting for a secretary/receptionist to support the finance staff at the corporate offices in Oak Brook, IL who will be responsible for:

 

· General office duties, including:

o  Prepare, and edit Power Point presentations and Word documents as requested

o  Answer and direct all incoming messages as necessary for

§ Take messages from General Voice Mail Box and distribute as necessary

o  Filing, labeling, sorting of files/documents

§ Meeting Minute Books

§ Accounts Payable

§ Expense Reports

§ General

o  Calendaring

§ Manage appointment and contacts in Outlook

o  Sort, process and distribute mail

o  Process / track FedEx shipments online

o  Scan documents to .pdf files as requested

· Maintain office supplies and equipment

o  Ensure copiers, printers, faxes, postage meter, etc. are operational, schedule service calls and order supplies as necessary

o  Organize, inventory and order office and kitchen supplies

o  Schedule service / maintenance calls for office suite

o  Schedule service calls for telephone system

· Assist in Accounting

o  Enter corporate accounts payable invoices into accounting system

o  Maintain corporate cash management excel database via entering daily cash activity from banking system.

o  Manage corporate-wide cell phone list and program, including addition/cancellation of individual contracts, control or direction of services and device management, breakout and coding of monthly bill

o  Manage / implementation of corporate-wide conference calling program, audit of monthly bill for accuracy and breakout and coding of monthly bill

o  Log and file American Express expense reports

o  Manage the production and distribution of Monthly Management Report to parent company, modifying Microsoft excel charts and links as well as Microsoft excel

· Travel

o  Coordinate all travel for CEO and CFO

o  Manage / oversee corporate-wide travel program with agency

· Assist in IT

o  Run daily backup tape

 

Here’s what you need to succeed:

 A minimum of 2-5 years experience performing in a similar roleStrong communications skills, business savvy and high sense of professionalismStrong computer software skills (MS Office, Quickbooks, Peachtree, etc.)College degree preferred
