Contract Coordinator

Submit completed bids and quotes to customers in a timely manner.

Ensure the accuracy of maintenance records and reports, making corrections and verifications where necessary, including monitoring accuracy of information going into the FMR database.

Issue service contract renewals in a timely manner and follow-up with customers and service engineering to encourage renewal acceptance.

Coordinate pricing of service contracts with the sales department and field service managers, which includes periodic review of pricing and updating with new products.

Respond to customer inquiries regarding service contracts, maintenance records, service and billing issues.

Prepare correspondence to medical accounts, buying groups and governmental agencies.

Respond to inquiries for the credit department, regarding service customer billing accuracy, collections, credits and cancellations.

Respond daily to requests from field service managers and engineers, dispatch, customers, credit and sales department to ensure records accuracy.

Update the model number/description database by creating information for each new product in TSS tracking database.

Request and distribute updated reports to the field to ensure that the field service engineers have the tools they need to complete the administrative side of their job.

Ensure that field service managers and engineering are kept informed of any changes in Qcare customer status by distribution and recording of documents received from customers.

Develop and document procedures to assure smooth flow of work.

Perform other duties as assigned.

Minimum of two years related experience. Working knowledge of health care/medical industry with experience in procedure and system development and analysis required. Working knowledge of Federal Acquisition Regulations and industry buying group methods. Thorough knowledge of QIC products and technical service procedures. Working knowledge and understanding of accounts receivable procedure, billings, credits and collections. High level of customer service abilities.
