We are currently seeking a Customer Records Coordinator for our St. Paul, MN territory.  We offer an excellent compensation package and comprehensive benefits, including: competitive salary, 401K, Medical, Dental, Vision, Life Insurance and tuition reimbursement.

 

JOB SUMMARY:  This role is responsible for creating and maintaining patient files in the database, entering patient demographics, prescriptions and producing paper files.  Work closely with Clinical Reimbursement, Account Services and shipping, to complete the order, including Patient Consents and Trial Conversion information.  Provide direct support to the field organization by owning and maintaining the Medical Facilities (MF) database.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 Add program entries received off the fax machine into the database.  For all mail-in orders or called-in orders, fax an order form to the requesting person and once completed by the requester, adds to the database.Add all NACR and study patients into database.Review all entries, entering diagnosis, protocol, insurance information, Patient Consent Form and Advanced Beneficiary Notice.Responsible for making the file folder. Work with Account Services on information not provided on order form to complete and expedite order.Record and file the Patient Consent Forms into the patient file when not received at time of original order.Responsible for entering all Trial Outcome forms, when continued, discontinued or extended.Remove and sort faxes from the fax machine, breakdown the fax and distribute to appropriate functional area.Handle all paperwork requested in the queue, sending out.Responsible for data entry of the Account. Set-Up and Account updates.Updating and adding territories, Referral Liaison’s and Account Manager’s.Medical facility reports.Add shipping notes to sites.Enter all new accounts and account updates into the Medical Facilities database, research accounts on the Internet for clarification and additional information.Enter all contacts.Enter and/or search UPIN numbers.Create and distribute all new order pads for new sites, and existing sites requesting new pads.Inactivate files, term orders and arrange pick-ups.Enter all address changes from post office mailers, Patient Information Update, Account Manager or any forms of changes.Other duties may be assigned.



EDUCATION AND/OR EXPERIENCE REQUIRED:

 Computer knowledge, and basics in the PC maneuvers – Microsoft office programs, e-mail capabilities, and Filemaker software. Requires 3-4 years computer and office experience. Organizational skills a must.Medical terminology is helpful. Detail oriented with a thorough approach to tasks.Lotus Notes – MS Office 2000.
