Currently, we are searching for a Human Resources Assistant to join our Wilmington, MA location. About the Opportunity: Position Scope / Summary The company provides design and outsourced manufacturing, assembly, and supply chain management to the medical device industry. With approximately 20 locations, Accellent employs 3500 people. The Human Resources Assistant is a shared service resource responsible for a variety of employment, placement, orientation and training, employee relations, compensation, benefits, people process and transactional support services. The Human Resources Assistant supports the HR department and ad hoc requests from a geographically dispersed, cross-functional employee base. The HR Assistant supports a culture of continuous improvement by being service oriented, coordinating special projects, establishing effective communication processes and deploying best practices across Accellent to improve cost, quality, delivery, and employee engagement. Key Result Accountabilities include, but are not limited to: Develop and manage HR department calendar (time off, EEO, AAP, OSHA, audits, benefits planning and renewal, retirement investment committee and ad hoc initiative target dates, etc) Maintain system for document control including original paper and electronic documents for benefits, procedures, policies and other Functional documents; maintain paper file systems and manage the electronic archive on the company intranet site and shared drive Provide training administration support; administer distribution, tracking and reporting of employee development programs; ensure training records are complete; conduct audit of participant training records Facilitate new hire orientation, benefits open enrollment sessions, or other employee informational meetings Assist in coordinating company-wide communication plans for benefits open enrollment, objectives setting, performance reviews, merit increases, bonus or other incentive compensation plans, training programs, and other organizational announcements Support recruiting process and applicant tracking systems; enter position requisitions into TMS; coordinate interview schedules; update position descriptions; prepare offer letters; coordinate pre-employment screening Coordinate high-volume, time-sensitive workflow to secure approvals for salary changes, internal and external hiring offers, rehires and relocation requests, etc. Conduct compliance audits to validate OFCCP compliance, posting requirements (OSHA, WC, DOL), I-9 review, employee file and benefit file review Handle administration for compensation and benefits planning projects; generate compensation market survey analysis and reporting; maintain current compensation data in HR systems Respond to day-to-day issues that require human resources intervention, evaluation, or processing. Depending on the level of systems access provided, ensure that all company representatives are engaged appropriately: · Provide administrative assistance to Corporate and field Human Resources teams Manage mail, e-mail correspondance and voice mail messages Handle all employee inquiries timely, including an initial response within 24 hours, escalate as required Process all new hires, terminations and status changes accurately and efficiently Maintain and track status of employment contracts, including service fees Communicate employee changes to processing team (HRIS, Payroll, vendors, etc.) Establish and communicate deadlines; provide consistent, reliable follow up Request, consolidate, edit and compile data into presentation-ready format · Run queries and maintain ad hoc reporting as required, including but not limited to: Headcount, New Hire, Termination, Open Position, Approved Requisition, AAP, EEO, FMLA Administer employee relations, communication programs and company-sponsored events Maintain employee, training, recruitment, benefit/medical, I-9 and other files · Administer the Accellent benefits program; respond to employee inquiries Research and respond to unemployment, workers compensation, or other claims Coordinate and attend facility, department or team meetings as identified; take minutes where appropriate Act as switchboard or receptionist backup as requested Comply with all federal and state employment and labor laws and regulations
Qualifications - 2 years’ experience providing human resources support in an environment of changing priorities/activities Associates degree in human resources or related discipline; Bachelors preferred. Proficient competence with Microsoft Word, Excel and Outlook, PowerPoint and Access a plus - Present Professionally at all times, including a calm, competent customer focused composure under stress Must be able to work under pressure to meet deadlines and handle changing priorities Ability to work in a fast paced, dynamic, demanding environment Strong analytical capability to work with data, procedure and work flow process Strong verbal and written communication skills Dedicated/focused/independent individual committed to providing high-level customer service Must possess exemplary organizational skills and attention to detail Must be capable of starting and completing tasks and projects independently Ability to demonstrate good judgment while handling information of a confidential nature
