Aesculap, Inc., has an excellent opportunity for a Sales Coordinator Administrative Assistant for our Aesculap Sales Groups.PRIMARY RESPONSIBILITY: Responsible for assisting the Coordinator of Aesculap sales on all administrative duties supporting the Sr. VP of Aesculap Sales; Director of Sales, Surgical Technologies – East; Director or Sales, Surgical Technologies – West; National Sales Director – NeuroSurgery, Closure Technologies Department and sales force of the Aesculap Sales Division. Acts as secondary contact for field sales staff regarding personnel changes or requirements.SPECIFIC DUTIES:• Prepares reports, manuals, agendas, correspondence and memos as guided by general company practice.• Answers mail and a variety of inquiries with general instructions.• Answers phone calls for Sr. Vice President, routes calls to appropriate personnel and functions as information source on Aesculap Sales Office policies and procedures when appropriate.• Coordinates schedules, correspondences, and work assignments for the Vice President including travel arrangements.• Follows up with other departments and external organizations to insure that requests are carried out and information is coordinated.• Prepares letters, reports and memos, and plans layout for statistical tables.• Develops, types, copies, faxes, and distributes routine reports, manuals, agendas, and correspondences for Sales Management teams.• Operates general office and computer equipment.• Creates, implements, and maintains administrative materials, forms, logs, Dept files and lists used for sales support, including the Sales Manual.• Performs other duties within Aesculap Sales division when required.• Works on projects when required.JOB LEVEL:Intermediate level. Requires general knowledge of the job and broad understanding of the general aspects and technical phases of the job and their practical applications to problems and situations ordinarily encountered.EDUCATION/EXPERIENCE:• Completion of high school and/or a secretarial training program from an accredited school with business or accounting fundamentals.• Requires procedural skills in reading, writing and arithmetic.• Requires excellent oral and written communications skills.• A minimum of 1 –3 years of executive secretarial experience, the ability to type 65 WPM, knowledge of PC network applications, Microsoft Office (Word, Excel and PowerPoint). Lotus Notes and SAP needed.SPECIAL REQUIREMENTS:• The duties performed are generally of a confidential nature and require a thorough knowledge of practices and procedures of the function, company products, policies and programs.SUPERVISION:Normally receives no instructions on routine work, general instructions on new assignments. Work under minimal supervision.EQUIPMENT USED IN POSITION:Telephone, personal computer, laser printer, photocopier, facsimile machine, MS Word for Windows, Access for Windows, Excel, Database user (A plus), voice mail, E-mail.PHYSICAL REQUIREMENTS/PHYSICAL ACTIVITIES:Light Work - Position involves sitting, standing and/or walking.
