Administrative Assistant/Reporting to Branch Executive Director & Development Director
Job Objective: To coordinate and support the branch operations, programs, and fundraising campaigns.
Support the Executive Director with essential duties and responsibilities that include the following but are not limited to the list below. Work cooperatively with the Program Director, Development Director and office volunteers.
Duties: Support the Executive Director with essential duties and responsibilities that include the following but are not limited to the list below. Work cooperatively with the Program Director, Development Director and office volunteers.
· Maintain Branch office practices such as: answer phones, AIRS calls and take messages when appropriate; prepare check requests and expense reports for Executive Director to sign; sort in-coming mail and take out-going mail to postal drop; file as requested; maintain committee rosters as needed; create minutes from committee notes; coordinate mailings for all branch events – including stuffing, labeling, sorting, postage and sealing.
· Support priority Valley Branch special events that include: golf Classic, walk, major-planned gifts program and board/committee meetings.
· Help maintain donor/volunteer databases. Ability to handle large contact lists and keep them up to date. Be able to create timely reports as needed for special events.
· Solicitation of auction items and package grouping
· Support event committees, follow event timelines and supervise event volunteers.
· Operate within approved budgets.
· Be able to interact with people on many different levels.
· Other duties and responsibilities as assigned.
Requirements: Preferred Education
Bachelor’s degree or similar certification from an accredited College or University
Skills
· Experience in fundraising through special events, sponsorships and solicitations
· Must have excellent communications skills, verbal and written.
· Must have the ability to present information professionally and effectively.
· Must be a team player and have the ability to multi-task
· Must have valid driver’s license, reliable transportation and the ability to lift up to 30 lbs.
Computer Skills Highly Recommended
Microsoft Outlook, Access, Excel, Word, PowerPoint, Publisher; Photo Shop or similar software, Internet; able to learn on the job-particularly our new donor management software – Team Approach
Summary: This position works closely with the Executive Director and development staff to coordinate fundraising special events for the Valley Branch. Knowledge of the Foundation mission, its constituents (board members, volunteers, people with arthritis and staff) and program’s and services in the Valley area are a must. Candidate must be dependable, able to meet deadlines and budgets; multitask, maintain positive relations with staff and volunteers, acquire a knowledge of Foundation departments, offerings and capabilities; maintain relationships with vendors and external clients; maintain accurate project records; attend some evening and weekend meetings/ events; attend fundraising trainings as requested.
