Voices For Children Foundation, Inc. (Voices) is a nonprofit organization dedicated to raising funds to ensure that all abused, abandoned, and neglected children in Miami-Dade County have a dedicated voice in dependency proceedings to represent their best interests and that their basic needs are met.
Position Summary
The Events Manager will work with the Director of Development in developing, planning, coordinating and implementing all details for a wide variety of events and projects (i.e. luncheons, galas, concerts, conferences, seminars, theatre productions, artistic and creative workshops and other similar activities whereby the goal is to attract an audience). The Events Manager will ensure the continuation of existing institutional event specific standards as well as assure adherence to revenue and expenditure goals as approved by the Board of Directors and branding guidelines as established by the Communications Committee.
Duties and Responsibilities:
Develop, plan, coordinate, and execute all details related to events according to best practices and event timelines. Logistics include, but are not limited to, booking venues and caterers; menu selection; managing event mailing and guest lists; maintaining registration lists; on site set up and activities such as signage, give-aways and recognition awards; supervising staff and volunteer with pre-determined activities and responsibilities, and drafting all event scripts and ensuring adherence in their execution. Work with the Development Manager in creating sponsorship benefits packages and ensuring fulfillment of benefits for all event sponsors secured. Work with Communications Department to ensure the creation of all event materials (such as save the dates, invitations, program books) are consistent with institutional branding guidelines and work with the Director of Development and Development Manager in assuring adherence to sponsorship benefits in a cost-effective and timely manner. Review and audit event receivables and payables and ensure payables are processed in a timely fashion in conjunction with Accountant. Coordinate pledges with Development Manager to ensure appropriate invoicing. Act as the primary point of contact for organizations, groups, corporations and/or individuals in the community conducting special events to benefit VFC and provide direction and support as needed in their implementation. Maintain calendar of relevant events occurring throughout Miami-Dade County to avoid conflicts when establishing VFC events. Actively seek opportunities to be involved within the community with an eye towards developing new relationships and nurturing existing relationships in order to initiate new fundraising and friend raising opportunities for which Voices For Children may benefit. Assist in developing and nurturing a volunteer network of groups and/or individuals in support of events, programs, and in-kind needs. Recruit, assign, monitor, and recognize efforts of volunteers. Participate in revenue and expenditure budget development for events in concert with Director of Development; ensure project budgets are maintained by tracking expenses and revenue against financial goals; evaluate achievement of event’s successes and prepare reports on results. Research current NPO trends for special event expenses and revenues and make recommendations for future fundraising endeavors.
Experience/Qualifications
Bachelor’s Degree from an accredited college or university required as well as three to five years of related experience. High degree of professionalism, initiative, and creativity as well as impeccable attention to details required. Excellent verbal, written, and presentation skills required and outstanding interpersonal and people-skills essential. Candidate must have a proven track record of working under pressure, handling multiple assignments simultaneously and meeting strict deadlines in a fast-paced environment.
