Events Planning Manager
Our client, the world’s leading cleft charity, whose mission is to help millions of children in developing countries who were born with cleft lips and cleft palates that have never been repaired, seeks a dynamic and innovative Events Planning Manager for the overall administration and management of a year-round comprehensive events program. The Events Planning Manager oversees the coordination of program development, financial planning, budget development, facilities scheduling, food service, staffing, events management, registration, marketing and evaluation for services rendered. This individual must focus all efforts on the organization’s goals, provide a professional public presence, be a forward thinking emissary dedicated to a collaborative process and have a strong commitment to service excellence.
Key responsibilities include:Provide professional expertise in event development and coordination for organization.Researches and identifies locations for meetings, conferences, programs and special events.Negotiates contracts with facilities and other meetings-related vendors.Manages logistics (meeting space, dining/catering, audio-visual, transportation) for scheduled events.Develops and monitors budgets for events.Ensures accurate invoicing and collection of fees for all events.Develops copy for website .Coordinates all event-related logistics.
Experience:Minimum of 5-7 years experience in marketing, planning and coordination of events.Experience in conference and hospitality management, including experience in working with hotels, conference centers and caterers preferred.Strong financial management skills with experience in budget development and oversight, tax reporting, direct and indirect cost assessment, and overall event financial management including end of year reports.Superior organizational skills with critical attention to detail required to manage and balance a heavy workload including a combination of complex, high volume activity along with routine scheduling and oversight of events.Ability to manage multiple priorities under pressure and accomplish short- and long-term deadlines.Experience in negotiating and managing contracts.Demonstrated computer skills and working knowledge of data base and software applications.Ability to travel as needed to meet with event sponsors, market services and secure contracts for service as well as attend related conferences.
Personal Attributes and Competencies:A self-starter who is highly motivated, able to operate autonomously, and able to enthuse others with his or her personal dynamics.Must be an effective leader with the ability to network and build relationships with service providers.Excellent conceptual and analytical skills necessary for long term planning, evaluating, and problem resolution.Extremely articulate, with demonstrated strong oral and written communications skills (great attention to detail and accuracy).A true team player who can get things accomplished in a collaborative environment.Extremely ethical. Someone who is conscious at all times of conflicts of interest.
Education:Bachelor’s degree in marketing, business administration or related hospitality field requiredMaster’s degree preferred
