Your responsibilities will be carried out to promote ABVI Goodwill's mission, vision, and values.  Our mission is to prepare and empower people who are blind or visually impaired to be self-sufficient and contribute to their families and communities. 

As the Guest Relations Specialist, you will provide day-to-day administrative support to the Director of Business Services and reception and administrative responsibilities for the call center units.  You must be able to work independently to:  review and send out correspondence, reports, proposals, organize computerized files, coordinate travel, meetings and conferences. The Guest Relations Specialist must also project a friendly, courteous and professional demeanor at all times, and must maintain and respect the confidentiality and integrity of all interactions and communications.

 

DUTIES AND RESPONSIBILITIES:

·  Creates, proofs, revises and edits written material as needed.

·  Handles internal and external correspondence. Prepares documents for meetings, conferences and marketing activities.

·  Acts as a liaison between the call center and the finance department to prepare 2-1-1/LIFELINE state billing as well as invoices for clients/contracts as required.

·  Creates and maintains departmental filing systems on shared computer drives. Maintains departmental paper files as needed. Organizes and updates contract files.

·  Answers telephone lines and updates calendars for Director, management team and lines as designated.

·  Uses and coordinates maintenance for all office equipment, track warranties, schedule regular maintenance for copiers, printers, shredders, etc.

·  Monitors office supply inventories and completes requisitions for supplies to minimize cost.  Maintains headset inventories and maintenance agreements. Communicates with vendors for cost benefits.

·  Coordinates logistics for meetings, webinars and conferences including location, communication method, resources, foodservice travel arrangements etc.  Serve as Scribe for meetings as needed.

·  Maintains department logs, reports, and/or data entry. Responsible for incoming/out going faxes and mail distribution.

·  Assists during month-end activities.

·  Reviews and communicates updates to the appropriate personnel for changes to the call center intranet, partner site’s intranet and and 2-1-1/LIFELINE website.

·  Ensures new hires have all necessary items, on first day in office. Orientates new hires to their surroundings.

·  Manages building maintenance through the Agency’s Facilities Manager.

·  Cross-trains and learns other responsibilities within the team and provides assistance as needed. QUALIFICATIONS: High School Diploma or GED required; AAS in Secretarial Sciences preferred. At least two years related experience required. 

Strong Microsoft Office skills required including:  advanced proficiency in Word & PowerPoint and intermediate to advanced Excel skills.

 

Ability to read and interpret documents such as safety rules, operating instructions and procedure manuals.  Communicates effectively, courteously and professionally with consumers, employees, and all Agency guests.  Must be customer focused and driven and provide excellent telephone etiquette at all times.

 OR an equivalent combination of education and experience. Experience with the telecom or contact center industry strongly preferred.
