Peer Review Assistant
JOB SUMMARY: Provide clerical support for Peer Review for the American Journal of Respiratory and Critical Care Medicine (AJRCCM), the American Journal of Respiratory Cell and Molecular Biology (AJRCMB), and Proceedings of the American Thoracic Society (PATS).
RESPONSIBILITIES: Administrative Secretary will Field all incoming calls for AJRCCM, AJRCMB, and PATS. Receive, date-stamp, process incoming mail for Peer Review Department. For all original and revised manuscripts received, assign manuscript number, count/label manuscript elements on all copies received, create manuscript folder. Contact Corresponding Authors, giving information on submission of the Copyright Form and Submission Form. Assist in packaging outgoing mail for Peer Review. Contact Corresponding Authors, giving information on submission of Copyright Form, Submission Form, and Financial Disclosure Form. Perform data entry for all original and revised manuscripts received; update database when Associate Editor is assigned. Assure that all needed Revision materials (electronic and hard copies of Manuscript, figures, disk with manuscript, disk with figures) is received for ALL manuscripts submitted. Send critical sheets from original manuscript submissions to Editor for assignment of Associate Editor; transfer file to appropriate Coordinator. Send ScholarOne Submission forms and Financial Disclosure Forms to appropriate Associate Editor. Maintain all documentation on Letters to the Editor; contact Corresponding Authors to obtain required Forms. Oversee inventory; order department supplies.
QUALIFICATIONS: Bachelor’s degree required (BA in English or communications preferred). Minimum two years office experience. Strong organization skills; ability to handle heavy volume of information with accuracy. Word processing skills and familiarity with database systems, including MS Office applications. Must be detail-oriented and task-oriented. Excellent communication skills. Excellent customer service skills.
