Program Coordinator Short Term Training and Outreach
The Program Coordinator of Short Term Training and Outreach is responsible for outreach and recruitment of participants and the day to day supervision of short term vocational services in Boston. Oversight responsibility includes participant management, case manager supervision, implementing compliance efforts with applicable laws and regulations and providing direct service.
RESPONSIBILITIES:
Supervision of Case Managers, providing support, guidance and intervention with families, funders, and participants when needed.
Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work; appraising and assuring performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Use data management tools to track and assure quality data entry and completed files. Run reports to track measurables, outcomes, performance and billing service information.
Liaison with referring agencies, conduct program outreach to referral sources and market programs to potential referral sources and funding sources. Tracks and reports contract performance vs. goals.
Develops and maintains strong relationships with funders, employers and referral sources and community partners by attending meetings, communicating contract issues, and engaging in strategic and comprehensive marketing efforts.
Works closely with manager of placement services to assure job ready participants are identified and receive placement services and that placement goals are attained.
Coordination of intakes and referral process for vocational services long term training participants. Receive phone calls from referral sources, takes intakes/referral information. Ask and answer questions regarding programs and/or consumer referred. Schedule program tours and start date. Determine staff assignment to case. Perform tours for referred individuals, families and staff. Request referral information. Send letters documenting referral, tour date, tour attendance and start date.
Attend and participates in various organizational and departmental meetings, including Weekly Placement meetings and Client Assignment meetings. Monthly meetings, including P&S staff meetings, General Assembly. Attendance at other meetings as requested (i.e. committees and special projects).
Complete billing paperwork and track payment process with referral sources and Goodwill staff. Supervision of attendance procedures to determine and assure correct billing. Liaison with Accounting Department to disseminate and recollect attendance sheets. Work with Accounting Department to ensure correct billing in a timely fashion.
In collaboration with placement team establishes and maintains positive relationships with employers to determine personnel needs, core competencies for open job orders, and to market Goodwill training programs and participants.
Assists Director of WFD with management projects as assigned. Other duties as assigned.
QUALIFICATIONS:
Bachelors Degree in Human Services or related field. Experience in vocational services setting in direct service agency is required. Supervisory and administrative experience is preferred.Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.Excellent computer skills and interpersonal skills. Bi-lingual a plus.
