Senior Admnistrative AssistantThe Corporate Partnerships unit at the American Red Cross seeks to form mutually beneficial, long-term partnerships with corporations that can offer reach and revenue to support the Red Cross brand and its organizational priorities. As part of this team, the Senior Administrative Assistant provides critical administrative support. This position improves the efficiency of the unit and service to corporate donors and partners by applying skill and knowledge of the Red Cross and its fundraising systems. This role includes coordinating the preparation of reports and various correspondences; administering projects, programs and processes applicable to the department; and analyzing unit operating practices. The Senior Administrative Assistant may serve as liaison with others inside and outside the organization in regards to administrative issues. Responsibilities: Provides administrative support to the unit including, but not limited to, revenue and expense tracking, database management and data entry, drafting and finalizing correspondence in various formats, and shipping staff and donor supplies. Processes incoming donations and documentation for corporate partnerships and works with the Director on team forecasting and financial analysis. Coordinates the processing of expense reports, checks and staff reimbursement with Finance. Develops corporate donor and sponsor files and manages file systems for record access, including preparing and maintaining accurate correspondence and contact information. Arranges meetings and teleconferences, including provision of space, food and transportation for the unit. Compiles, views and analyzes data from various sources and generates internal and external reports, statistics, timelines, tables, graphs, correspondence and presentations with the information gathered. Maintains the Corporate Partnerships calendar. Fields incoming public inquiries via phone and email, answers routine questions and forwards to appropriate staff. Acquires office supplies, stewardship and case presentation materials for the unit to support corporate sponsor presentations and meetings. May assist in the development of presentations. Qualifications: A high school diploma and technical certificate or training in administration. Recent college graduates are welcome. A minimum of three years related experience. Excellent written and oral communication skills. Ability to perform under pressure in a rapidly changing and multidimensional environment. Demonstrated tact and diplomacy in difficult or sensitive situations. Demonstrated customer service skills. Knowledge of Microsoft Office applications, including Word, Excel and PowerPoint. Ability and willingness to learn donor management software is essential. The American Red Cross National Headquarters is an Equal Opportunity/Affirmative Action Employer.
