Gates Sr., under the direction of Bill and Melinda Gates and Warren Buffett.Description:The Finance and Strategy group is responsible for implementing and maintaining operating procedures designed to ensure rigorous stewardship of the foundation&os;s financial resources. We oversee the business processes that govern the foundation’s basic grantmaking and risk management; evaluate and improve the impact of the foundation&os;s grantmaking; and produce accurate and transparent financial analyses and reports. We also coordinate public-private partnerships across the different grantmaking areas to optimize effectiveness and share best practices, and we drive a number of special initiatives related to planning for substantial increases in long-term payout and overall growth.

The Sr. Employee Expense Administrator’s primary responsibility will be to assure the day to day operations and maintenance of the foundation’s corporate credit card system.

The position requires excellent communication skills and the ability to establish strong working relationships with contingent staff and employees at all levels of the organization.  The ability to adapt in an ever changing, growing environment as well as a willingness to step outside of the assigned finance role to help where it is needed is a must.

DAY TO DAY OPERATIONAL SUPPORT:• Ensure daily, weekly, and monthly tasks are completed accurately and deadlines are met.• Communicate with foundation staff regarding compliance of after-the-fact travel expenditures• First point of contact for escalation issues• Assist foundation staff in understanding and following the Travel & Expense policy

SYSTEMS TOOLS, TRAINING, AND REPORTING:• Maintain all T&E policies, procedures and training documents• Perform group trainings for new Foundation staff members• Perform monthly 3rd party web tool data download• Responsible for expense administrator staff training and on-boarding• Work closely with the AP Manager & IT Department to review and implement 3rd party web tools and integrations forcontinued system efficiencies.• Provide year end 1099 reports for credit card transactions• Maintain corporate credit card metrics

GENERAL LEDGER REPORTING:• Responsible for various monthly GL reconciliations• Provide monthly download to GL Accountants for upload to the Finance system• Create and maintain various monthly reports• Other tasks as deemed necessary to support the finance departmentQualifications:• Minimum of 4 years experience in processing Employee T&E reconciliations/payments utilizing automated accounting systems.• Has good understanding of general accounting principles• Demonstrates strong verbal and written skills • Experience in the administration and maintenance of a corporate credit card web tool and performing ongoing group trainings.• Experience with travel and expense report processing audits and has participated in corporate financial month end closings• Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside the organization• Previous experience in a Lead or Supervisory role preferred• Possess strong organizational skills with ability to manage multiple priorities• Has demonstrated a willingness and enthusiasm to temporarily step outside of hired role to help where help is needed. • Demonstrated experience using and proficiency with MSWord, Outlook, Excel, Access and automated accounting systems.• Commitment to the foundation’s core values, mission, and programs.Salary/Benefits: Salary commensurate with experienceJob Location: Seattle, WAJob Number: 981BRCompany URL: http://www.gatesfoundation.org
