Job Description:Customer Service/Order Processing/Invoicing: Receive and process incoming orders for products. Duties include informing customers of receipt, shipping dates, delays and handling complaints. ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following - Other duties may be assigned. Detailed Work Activities: Answer and transfer phones to appropriate personnel, relay any messages. Receive and process telephone, fax & email orders.Process samples, employee purchases & credit card orders.Maintain back orders for report municate with Credit dept. for credit approvals.Check inventory levels, research purchase order status & trace shipments en route. Calculate & quote shipping rates.Process account invoices.Maintain records, reports, or files.Investigate & resolve customer complaints.Process receiving reports, returns, billing corrections & credit/debit memos. Issue freight damage municate with warehouses.Use oral & written communication techniques.Tasks include:Confer with sales, shipping, warehouse, or common carrier personnel on order to expedite or trace shipments.Obtain customers' names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information or order form.Verify customer and order information for correctness, checking it against previously obtained information as necessary. Inspect outgoing work for compliance with customers' specifications.Inform customers by mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays. Recommend merchandise or services that will meet customers' needs. QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must be able to read, write and speak fluent English. OTHER SKILLS AND ABILITIES: Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.Knowledge of administrative and clerical procedures and systems such as managing files and records, designing forms, and other office procedures and terminology. Ability to apply common sense understanding to carry out instructions.Ability to deal with problems involving several concrete variables in standardized situations. Basic computer skills (Microsoft and AS/400) Communication skills (written and verbal) Detail oriented with multi-tasking ability, Interpersonal skills, Accuracy.
