Job Category: Administrative/Clerical Reference Code: US_EN_1_025260_7393827 Location: Minneapolis Job Description:Our client in downtown Minneapolis is looking to fill several Administrative Assistant Positions. In these positions you will: 1.Answers telephone, screens callers, relays messages, and greets visitors. Establishes and maintains excellent working relationships with internal and external guests. 2. Responsible for calendar management, arranging appointments, and conference calls. Maintains vacation calendar and master calendar of events/meetings/etc. Plans and coordinates functions. 3. Performs general administrative duties. Orders supplies and equipment; maintains supply area. Handles photocopying, faxing. Drafts memos, forms, reports and general correspondence. Establishes, organizes and maintains an efficient file storage/retrieval system. 4. Prepares check requests and expense reports, and tracks on-going expenses against budget to ensure correct accounts have been charged. Coordinates payment of invoices/bills. 5. Coordinates travel and hotel reservations; prepares itineraries. 6. Opens, sorts and prioritizes incoming mail and email, handles distribution of reports and other outgoing correspondence. Maintains public mailboxes. 7. Acts as liaison between management and staff. Uses informal channels and develops own networks to achieve faster work results for the team. 8. Conducts special projects and performs other tasks as assigned Skills: Exercises considerable administrative judgment; maintains a high degree of confidentiality; Handles a high volume of work and is comfortable with an extremely unpredictable nature of workflow. ALL REQUIRE PROFICIENCY IN WORD, EXCEL & POWERPOINT. ACCESS is helpful in some positions. These positions can be short or long term temporary; many have the option to be hired on full time.
