Administrative Assistant

Management Assistant/Personnel Coordinator

 The Management Assistant creates a strong professional working relationship with the Management Team with the ability to help throughout the office as needed. In addition, this position performs administrative duties and assists all departments as needed. The Management Assistant (MA) will also serve as the Personnel Coordinator (PC) and will be responsible for maintaining all employee files.

 

Responsibilities include but not limited to:

§  General Assistance

- Deliver services to Management Team, office staff, tenants and vendors, as well as misc. departments throughout corporate offices. 

- Cover Reception Desk as needed (i.e. breaks, lunches and vacations)

- Collect information from Directors’ to complete the Manager's Report before due date.

- Insurance and Contract summaries

- Sales reporting

- Set up and organize all Employee Meetings

- Maintain Associate of the Quarter program

 

§Contract Administration

- Generate, route and track all Center generated contracts

- Act as a liaison with corporate legal department

 

§Lease Administration

- Merchants correspondence

- Leasing internal temporary storage

 

§Personnel Coordinator

- Available to answer benefit questions and all personnel inquires.

- Complete new hire and termination processes as directed

- Maintain accurate personnel files

- Review new Immigration policies effective

- Organize the new hire orientation that will be hosted by the Directors

 

§Back up Financial Assistant

- A/P

- Payroll

- Monthly gift card / TicketMaster reconciliation

 

 

Background Required:

§ Ability to handle confidential information

§ Advanced computer skills

§ Must have excellent customer service skills

§ Must have excellent communication skills both written and verbal

§ Must be a team player and can work in a fast-paced environment.

§ Multitask oriented.

§ Advanced skills in Microsoft applications

§ 3+ years Administrative experience

§ High School Diploma or GED required

§ AA or BA degree or relevant business experience highly desired.

§ Knowledge and experience working with all types of office equipment (i.e. fax machine, copy machine, and postage machine)
