Administrative Assistant (Returns Admin)

POSITION SUMMARY

To provide support for new required return processes for National Parts.

 
 

ESSENTIAL FUNCTIONS:Requires basic analytical skillsProvide customer support via e-mail and phoneStrong working knowledge of Word and Excel, creating reports and manipulating data.Organize and prioritize workload to insure timely completion of work.

 

DUTIES:Researching SC Virtual Issues: Looking up Rgms in system to determine what the error is and providing them instruction back as to what to do with the parts.Researching Invalid Virtual Returns from all Vendors to determine disposition or resolution.  Check to see what status Rgm is in may need to manually resend manifest or have warehouse push it into correct status to process electronically.Answering questions from venders on the weekly Rgm escalations.Receiving manual credit spreadsheets that are then forwarded to CS.Create a weekly report of weekly Rgm escalations; provide # of Rgms still open by vender for both Regular and Virtual Returns based on the data for that week is sent to Best Buy weekly.Work with Best Buy SC/ Best Buy Corp on issue items being returned to NP. (Ex: Skids with no Rgms)Researching Vender dashboards, providing SCA with updates/ resolution. ( Currently 2519 line items to be researched )Daily follow up on Return issues with IT.Researching issues with Virtual website. Communicating to IT/ Help Desk to get issues resolved.Research inbound / outbound freight charges (returns) before going into Corp Billing.Manually closing out Rgms.Required to approve all re-dispositioned return charges.Required to review / reconcile invalid shipments, credits and create reporting on this.Weekly meetings to go over Vender dashboards w / SCA and Best Buy.Updating daily returns dashboard from the information provided by from Sonia in returns – this is updated and sent to Best Buy distribution list.

QUALIFICATIONSAbility to perform work accurately and thoroughly.Ability to adapt to change in the workplace.Ability to use thinking and reasoning to solve a problem. Ability to take care of the customers’ needs while following company procedures.Ability to utilize the available time to organize and complete work within given deadlines.

 

SKILLS & ABILITIES

Excellent communication, organization and interpersonal skills.  Must have initiative and creative problem solving abilities.  Must be able to handle the challenge of multiple priorities and deadlines working with minimal supervision.  Must be able to effectively interface with individuals at all levels in the organization.


Computer Skills

Must have good working knowledge of Microsoft Word, Excel, and Outlook.
