CS - Operations Administrator Job Description:Operations Administrator-Finance GroupPosition Description - 3-5 years administrative or project coordination experience in fast-paced environment; ability to effectively implement and monitor complex plans and schedules; strong working knowledge of Microsoft Office applications (Word; Excel; Outlook) – internal MS Tools a plus. Strong communication skills a must – both written and verbal. Candidate should possess the ability to multi-task, manage high volumes of email and requests, and must be technically adept as the candidate will be working with multiple applications/tools simultaneously. Previous experience in procurement and/or contract administration preferred. - Qualifications - This role will support the MBD Procurement Desk. The job involves processing PO / contract requests to meet project start dates and ensure compliance with procurement policies. Project Owners submit requests through an internal Sharepoint site on an Infopath form for review and processing by the Procurement Desk. The CS would review the request using various MS internal tools to check the accuracy of the information that is submitted. The CS will manage the requests through the end to end process ultimately resulting in the opening of a Purchase Order for the hiring of a Vendor. This includes performing a variety of complex administrative functions relating to contracts and purchase orders: Reviewing project details and Statements of Work to determine contract requirements; routing for budget approval via MSTrax (internal tool); routing hard copy contracts to vendors and Microsoft managers for signature; opening Purchase Orders and routing for Microsoft management approval; scanning contracts and loading into Dealpoint (internal contract repository). The MBD Procurement desk handles 400 –500 requests at any given time, as well as processing high volumes of email on a daily basis.Expected Travel Time: None
