The person in this position provides primary clerical and administrative support for staff Coordinates information flow and communication via mail, email, and voicemail. Insures that all communication is disseminated in a timely and efficient manner.
Intervenes/responds on the behalf of those served as appropriate. Screens calls, visitors, and inquiries from customers and associates, providing direct response to questions when possible and appropriate as needed. Establishes and maintains record keeping systems and processes to include tracking systems, summaries, forecasts, filing, organizing, etc. Handles requests for equipment service. Coordinates communication with staff; consults with regional/national offices, working with outside sources to prepare presentation material for regional and local meetings. Acts as a primary interface/liaison between TriMedx staff and guests from other departments, outside vendors, consultants, regional/national organizations, etc, serving as receptionist when necessary.
Prepares documents as needed, insuring format is accurate. Utilizes word processing, spreadsheets, charts and graphs, along with database software. Develops, organizes and prioritizes information necessary for meetings, special projects and reports. Creates and produces materials for the special presentations and information, such as agendas, packets, overheads. Compiles various types of data used in production of routine and special reports, utilizing resources thoroughly to ensure accuracy of data as needed. Handles, processes or summarizes a variety of non-routine personnel and/or administrative documents or updates more complex record keeping systems, production of recurring summaries, forecasts, exception reports and the like. Collects, compiles, organizes data from a variety of sources involving the use of routine spreadsheet applications. Accesses programs to retrieve data in accordance with simple, defined requests.Participates in obtaining information for quality surveys and writes committee minutes and agendas. Prepares data for hospital Safety Committees reports.
Makes travel arrangements, which may include determining extensive itineraries. Initiates special projects as needs arise and is accountable for project completion, employing independent judgment in determining the means for completing a project. Assists Manager in the compilation and preparation of operating and capital budgets; performs bookkeeping duties as assigned. Communicates and collaborates with assigned work team to coordinate back-up coverage and support as needed. Provides supervision of staff as required. Works with other CESC’s in the local and TriMedx networks for mutual opportunities of professional development. Possesses working knowledge of all departmental infrastructure, including but not limited to, human resources, payroll, benefits, service operations, finance, and information technology. Interacts and provides support as necessary to those functions. Acts as resource for regional and local staff.
Knowledge Required
¨ Basic to intermediate knowledge of computers: word processing packages and databases such as Excel in use within the local hospital and TriMedx.
¨ Knowledge of office equipment and systems.
¨ Intermediate clerical, office, and administrative assistant skills.
Expertise Required
¨ Excellent oral, written and organizational skills
¨ Exceptional telephone and communication skills
¨ Ability to triage requests for the best possible outcome.
¨ Ability to work with Managers and those in similar leadership roles.
Education and Experience Required
¨ High school diploma or equivalent.
¨ 1 –2 years of previous office experience.
¨ Healthcare experience preferred.
