Executive Assistant to the CEO
The Executive Assistant to the CEO will support the Chief Executive Officer in all aspects of daily business. The Executive Assistant will function as an advocate of the CEO. The ideal candidate will help maintain an organized and efficient office and operate independently as a forward-thinking multi-tasker who consistently produces high-quality, accurate work. Exceptional organizational skills and meticulous attention to detail are a must. ESSENTIAL DUTIES AND RESPONSIBILITIES Perform as Ambassador of the CEO; representing the CEO office with the utmost professionalism helping drive business while remaining sensitive to time constraints and daily work load. Recognizes issues, rationalize and use good judgment when acting on behalf of CEO, other executives and the Company. Candidate must be able to interact and communicate effectively with all levels of employees including board members, clients, visitors and vendors. Excellent communication skills, both written and as an active listener. Learn and understand the Company’s products, services, procedures, processes and who to go to for what information. Organizes and maintains appointment calendar with a comprehensive understanding of priority while protecting the CEO’s time. Create presentations for board meetings, executive committee presentations and business reviews Meeting & teleconference coordination - Schedule & set-up of meeting room (onsite or offsite) and equipment for executive staff meetings, Board meetings, client and prospect meetings, etc. Board Member coordination Assist and support all board meetings, communications, approvals, teleconferences. Answer phones in a professional and courteous manner. Screen phone calls, visitors and mail for CEO as necessary. Arrange and coordinate meetings, conferences and special events. Manage Filing System for electronic and paper documents; centrally file and collect all pertinent contracts and agreements; adhere to document retention policy. Compose, edit, and proof letters and memorandums. Make business travel arrangements and create detailed itineraries for domestic and international travel. Create and submit expense reports in a timely manner. Skills/Education/Experience: Education: BA/BS in Business Administration or closely related field. Experience: A minimum of 5-7 years of directly related experience is a must. Highly proficient in Microsoft Office (including but not limited to Outlook, Word, Excel, and PowerPoint). Knowledgeable of computer and presentation equipment. Mature individual Takes initiative Is decisive and possess good judgment Has strong problem solving skills Results oriented Comfortable working independently or as a team player. Detail oriented Solid interpersonal skills Ability to prioritize and multi task in a demanding environment. Flexible and adaptable to change.
