Records Site Manager

 

Oce Business Services is currently seeking a Records Manager to work at our busy office in Miami, Florida. .  The hours for this position are 8:30 AM to 5:30 PM Monday through Friday. You will be managing a staff of 2-3 records clerks.

 

The salary for this position is $40,000 / year.

 

 Responsibilities:

· Maintains and secures records in accordance with established policies and procedures.

· Works directly with internal clients providing RM services, including file creations and organization, daily filing, indexing of documents, preparing materials for off-site storage, file tracking, and other related tasks.

· Prioritize and schedule all work.

· Ensure staff is meeting quality and productivity standards

· Ensure proper maintenance and usage of all equipment and supplies

· Ensure production targets onsite are met daily, weekly, and monthly

· Initiate communication and problem solving with regard to customer concerns

· Hire, train, develop, and appraise staff effectively.

· Ability to manage a staff of 3 record clerks 

· Accesses, edits, and maintains RM database, including auditing and updating circulation data.

· Ensure that general safety practices and any unique departmental safety practices are adhered

· Maintain daily RM statistical reports and submit weekly statistical reports

· Attends and participates in departmental meetings and RM training opportunities as they are scheduled/offered.

· Back-up for Iron Mountain staff to cover vacations etc.

· Special projects as assigned.

 

Qualifications and Experience:

 

 

· Must be able to work with record management software and tracking systems. Prior experience utilizing Accutrac and the ability to train new staff to use Accutrac  is a plus.

· Excellent computer skills; spreadsheets applications

· Advanced customer service skills, professional attitude & appearance

· Create a customer-focused environment

· Strong organizational, administrative, record keeping & time management skills.

· Successful track record in motivating and managing a staff

· Ability to manage  3  non-exempt employees

· This Manager must have excellent verbal and written communications skills.

· The candidate selected must be dependable, reliable, detail oriented with good organizational skills as well as have self-initiative

· Effective oral communication skills, including the ability to interact effectively with firm personnel at all levels with high degree of professionalism.
