We are currently seeking a Recruiting Coordinator for the Talent Acquisitions team providing administrative support to Talent Acquisition Team and manage workflow associated with a variety of functions within the department. • Coordinate the interview schedules for candidates. Contact hiring managers and recruiters to identify schedules, reserve location if necessary and communicate final schedule to everyone involved.• Produce, transmit and file correspondence, reports, memos, and presentations using Word, Excel and/or PowerPoint• Screen and respond to calls from vendors, hiring managers and job seekers and route to appropriate staff if necessary• Respond to candidate submissions which are forwarded from the executives and file all related correspondences and resumes.• Review offer approvals and prepare new hire job offers letters per these authorizations. Identify appropriate offer letter attachments and mail to candidates. Act as the primary contact for questions they have about the new hire/orientation process.• Prepare offer approval folders for submission to payroll.• Coordinate orientation folders for all new hires. Create and update documents as necessary. Maintain inventory of orientation forms, order and renew.• Maintain familiarity with FCC and EEOC record keeping requirements for recruitment. Maintain and update recruitment folders per requirements and archive.• Escort candidates to meeting rooms.• Post positions on specialty websites and coordinate print advertisements. Maintain copies and record costs and pay invoices.• Coordinate pre-employment drug testing processing for new hires, act as point of contact for questions and verify completion prior to their hire date. • Submit employment applications for security background investigations and verify background check requirements are met prior to the hire date, flag any issues for review with TAT management. • May perform candidate phone screening duties.
• Previous executive assistant experience in a large company environment.
• Proficiency in Microsoft Office.
• HRIS systems experience a plus
• Experience in Human Resources is a plus
• Able to handle many projects and work in a fast paced environment with a positive attitude.
• Exhibit a professional demeanor that is highlighted in all communications, including written and verbal
•Be resourceful and feel comfortable reaching out to other departments to complete assignments
•Follow through on action items and keep the team informed of progress
•Taking ownership of position is required
•Maintain discretion and confidentiality when working with sensitive information
•Be proactive in proposing work assignments that will enhance the performance of the department.
