Senior Administrative Assistant- Omaha, NE
Summary:
Assists Executive Assistant in preparing for company-wide meetings and events, preparing memos, running copies, preparing packets, assisting with reports and correspondence, as well as other varied duties to assist with administrative processes. Provides assistance and administrative support as assigned by Executive Assistant for various members of the Executive Management Team. Maintains high level of confidentially in regard to all assignments.
Essential Duties and Responsibilities include the following. Other duties may be assigned:
· Answers, screens calls, or records messages for staff members as directed.
· Provides ancillary administrative support to PSI Group Executive Staff, as directed by Executive Assistant, using Microsoft Office Suite PC software to enter data into spreadsheets, word process letters and memos, prepare Power Point presentations and assemble various materials, including financial reports and Operating Reports
· Oversees booking of Executive Conference rooms.
· Completes Travel Arrangements for Executive Staff
· Performs other administrative duties as needed, such as preparing files, sorting and collating documents.
· Assists with the planning and coordination of all Executive Staff Meetings and Special Company-wide meetings.
· Coordinates hotel, restaurant and catering services for meetings, as necessary.
· Regular scheduled attendance.
· Completes other duties as assigned or needed.
Knowledge, Skills and Abilities:

· Strong verbal, written and interpersonal communication skills. Ability to build and maintain a professional working relationship with staff and management.
· Minimum of 6-12 months experience in travel planning, including airline, hotel, car rental, meeting rooms, etc.
· Ability to maintain high level of confidentiality.
· Advanced level of PC skills, including experience with Microsoft Office Suite programs – Word, Excel, Outlook and PowerPoint required. Knowledge of Adobe Acrobat a plus.
· Ability to function in a fast paced environment and multi-task.
· Good judgment to prioritize tasks and complete to meet deadlines.
· Professional personal appearance.
· Strong organizational skills.
· Clear, pleasant and professional speaking voice. Ability to greet visitors to the Executives Offices with friendliness and professionalism.
Work Environment:
· Must be able to work in a fast-paced environment with frequent interruptions and work effectively under the pressure of deadlines.
· Must possess a valid driver’s license.
· Specific requirements of this job include the ability to:
· Regularly sit and/or stand for long periods of time
· Ability to occasionally bend/stoop
· Full use of hands to process paperwork
· Ability to perform keyboarding for 30-50% of the work period
· Ability to talk and to hear
· Ability to lift, push and/or carry up to 25 lbs.
· Specific vision abilities required by this job include close vision, color vision, peripheral vision, and ability to adjust focus.
