Editorial Assistant, Journals
SAGE Publications, a leading academic and professional publisher of books, journals, and electronic media, located in Thousand Oaks, California, with offices in London, India, and Singapore, is currently seeking an Editorial Assistant, Journals. This position provides administrative support SAGETrack; SAGE's online manuscript submission and peer review system, produces publisher's reports for social science journals and coordinates additional editorial projects. This position provides fundamental experience in the publishing business. Successful performance may equip the EA for promotion within the department.
Job functions:
~ Support Peer Review Specialist on SAGETrack implemention at the the journal level.
~ Work with external editors to get SAGETrack sites live.
~ Provide customer service and techinical support on the system to Editors and Authors.
~ Produce Publisher's Reports for Social Science journals in SAGE's existing template.
~ Support supervisor by processing incoming mail and phone calls; handling correspondence; maintaining files and databases, processing check requests, status reports, completing travel and expense reports with the online tool, managing and updating the prospects database, and other routine forms; and performing office functions
~ Prepare and produce reports, presentations, questionnaires, and surveys as directed by supervisor(s)
~ Conduct research on acquisition prospects, including market research
~ Organize and evaluate proposal materials with help from supervisor(s)
~ Format and proofread written proposals; assemble all components or proposals for delivery to clients.
~ Track contracts throughout the acquisition and journal management process
~ Create Contract Information Forms,
~ Review contract drafts and assist as needed in due diligence activities
~ Work closely and frequently with academic/professional editors through a variety of media (phone, e-mail, in person) to troubleshoot problems, coordinate complimentary subscription distribution, arrange editorial board meetings, order letterhead, make website corrections, etc.
~ Serve as liaison between supervisors and internal staff, including Production, Marketing, Circulation, Contracts, Art/Design, and IT staff on journal management and acquisition
~ Maintain timelines for completion of projects and coordinate efforts of involved parties
~ Manage and maintain supervisor's calendar and appointments and make travel arrangements, as requested
~ Assist in hosting office visitors, as requested
Job Qualifications:
~ Bachelor's degree (or progress towards BA/BS)
~ One year general office experience
~ Excellent English verbal and written business communication skills
~ Computer skills, including working knowledge of Microsoft Word, Excel, and Power Point; familiarity with contact management software desirable
~ Organization skills and attention to detail
~ Ability to follow directions, learn, and understand departmental procedures
