Production Coordinator

Excellent opportunity with NY based Global Printing Company. 

We are seeking an Entry/Mid Level Production Coordinator at our New York Book Division.  Toppan has a 100 year history, 30 plants, and 54 sales offices.  Our Book Division specializes in hard cover, high end; four color titles coffetable books and catalogues. 

 

Basic Function:

Act as a liaison between customers, sales, and overseas plants. Assist sales representative in processes involved in receiving, checking, and cataloging artwork, sending to the appropriate plants, and verification of and return of artworks and files to customers, in accordance with departmental policies, procedures, workflows and manuals.  Meet and strive to exceed customer’s requirements and expectations.

 

Primary Duties and Responsibilities:

·  Formulate and transmit estimate requests; communicate information to sales representatives who will relay final pricing to the customer

·  When necessary, generate invoices as instructed by sales representative

·  Respond to inquiries in a timely, accurate and efficient manner by liaising between customers, sales, and various plants regarding transmittal of documents and information regarding jobs

·  Handle internal Purchase Orders issued to Tokyo, Hong Kong and NJ plants for all jobs including sign off of sales representative before starting the production

·  Verify information with sales representative, and communicate instructions for shipping to overseas plants and NJ plant.

·  Act as contact for receiving shipping information such as bill of lading, packing lists, certificate of origin, and letter of credit for ocean shipments.

·  Establish the production schedule with the cooperation of sales representative, overseas plants and NJ plant.

·  Responsible for the trafficking of all materials, (artwork, files, laser prints and samples) which entails receiving several hundred pieces of the art for each book; checking, cataloging, and sending to overseas plants. Also involves receiving materials from plant; checking and returning to customer following the workflow.

·  Correspond with customs brokers regarding shipping status.  Check the quality on advance sheets, and prepares F&G for customers. Check the quality on advance copies and submit to customers before bulk shipments.

·  Preserve and carefully handle customer artwork ensuring materials are kept clean and undamaged

·  Report time and materials consumption accurately and timely

·  Hone skills by learning from others and studying written procedures and instructions

·  Offer and suggest new ideas for process improvement

·  Report all problems to production supervisor

Ex. VP, Sales Manager, Managers, Supervisor, Production Coordinators, Departmental Employees, Sales Representatives, Customers, New Jersey and Overseas plants.

 

Education, Experience, Requirements Necessary:

·  BA/BS degree or equivalent work experience

·  Experience with Book Publishing/Printing necessary, preferably with overseas companies. 

·  Computer literacy required.   

·  Ability to meet stringent deadlines, communicate within a variety of cultures and countries, and all levels of the employee population required.

·  This position demands exceptional customer service skills, organization, and emotional intelligence.
