Assistant Office Manager/Bookkeeper with Yardi experience
Scope and Purpose
The Assistant Office Manager/Bookkeeper assists and supports the Property Manager in all phases of the operation including, but not limited to, the general administration and maintenance of the property.
Duties and Responsibilities
Personnel Assists in training and developing of office personnel in accordance with company policies and directives. Assists the Property Manager in hiring and evaluating office personnel. Assists in preparation of bi-weekly payroll and associated forms.
Marketing/Leasing/Bookkeeping Individual is responsible for recording and tracking rents using property management software “Yardi” Assists in preparation and implementation of marketing campaign to effectively market the apartments. Reviews and/or updates community, property, and apartment benefit selling worksheets. Qualifies, demonstrates, and leases apartments in accordance with Fair Housing Guidelines. Assists in the review and/or processing of rental applications, lease forms, and reports to ensure they are properly completed according to property guidelines. Monitors and/or conducts follow-up calls and traffic documentation. Assists in the review or conducts periodic market surveys to evaluate property position within the marketplace. Assists in the monitoring of rent schedules on a regular basis.
Administration Maintains property files, records, and reports. Implements lease renewal program to maximize resident retention. Assists in the area of resident relations. Problem resolution is prime objective.
Financial Implements daily rent collection and ensure deposits, recording of rent, and reports are completed in a timely manner. Assists in the collection of all past-due rents in accordance with collection policies. Assists in the preparation of property budget and monitors for compliance; assists in preparation of Quarterly Report. Assists in the supervision of the purchase order system and ensures other employees’ compliance. Purchases office supplies and equipment within specified guidelines. Office Manager, continued Assists in preparation of property payables including invoices and Move-Out Dispositions.
Maintenance Communicates with residents for requested work and records concise information on a Service Request. Inspects the property to ensure that the highest standards are maintained at all times. Assists in the preparation of the property inspection three times per year as scheduled by Central Office. Picks up litter on the grounds when walking in any area. Assists in the evaluation of maintenance, grounds, and housekeeping operations in the areas of productivity and efficiency; assists in follow-up inspections to ensure resident satisfaction and company standards are met. Assists in the performance of move-in and move-out inspections in a timely manner.
General Supports and complies with company policies and procedures as stated in the Operations Manual as well as additional directives issued by the Central Office. Responsible for the property on an on-call basis should a problem arise. Performs other duties as assigned.
