Leasing Agent & Assistant Property Manager
Job Description
- Work as a team member with all employees of the company.
- Develop and maintain positive relationships with existing tenants. Provide excellent customer service.
- Negotiate and consummate renewal leases with existing tenants in Ribeiro properties.
- Assist in developing, coordinating, and implementing leasing and renewal strategies.
- Develop and maintain detailed market knowledge of various submarkets within Greater Sacramento
- Identify and develop new relationships with businesses and potential clients includes cold calling.
- Field inquiries from prospective tenants and purchasers.
- Tour space, qualify prospects, negotiate and consummate sale and lease transactions.
- Be responsible for lease negotiations and tenant coordination through entire lease execution and tenant move in.
- Review leases (business review only)
- Create, maintain, and update tenant files, property files, and activity reports.
- Prepare market studies and surveys for owner.
- Develop and implement marketing strategies for various properties.
- Implement best practices within company property management and leasing department.
- Facilitate and coordinate the design process of tenant’s suite design with company designer and tenant.
- Facilitate and coordinate the construction of tenant build outs.
- Facilitate and coordinate any changes to the tenant build out initiated by the tenant.
- Facilitate and coordinate tenant move in.
- Respond to tenant needs and coordinate with maintenance staff and see through to completion.
- Assist in administering all activities related to the physical operation of the properties, including engineering, cleaning, repair, remodeling, parking, security, landscaping, and lease enforcement.
- Preparation of all required legal notices. Recommends and coordinates legal action as necessary
- Assist in the day to day fiscal activities of the properties including bookkeeping, operations analysis, and budget management.
- Assist in the administration of collection of rent, expenses, and compliance with lease terms.
- Assist in the planning, budgeting and control of operating and capital expenditures.
- Assists in the preparation of annual budgets, forecasts, management plans, and monthly performance reports. Provide explanation for variances.
- Assist in the coordination of vendor relations.
- Assist in the review and reconciling of common area maintenance (CAM) recovery charges
- Assist in generate property budgets at year end for upcoming year by set deadlines.
- Assist in manage the overall appearance of the exterior and interior of the properties to be above the competition.
- Represent company in selected business, community, and industry organizations (BOMA and/or IREM) and groups.
- Answer company phones lines from time to time.
- Post leasing signs, stock flyer boxes on properties on a regular basis.
- Maintain appearance of property management’s office space and the satellite office.
- Set up and maintain tenant files.
- Inspect properties on a monthly basis. Walking thru interior and exterior of properties to evaluate appearance and ensure all items of the property are functioning properly.
- Comply with all written company policies.

Requirements & Qualifications
Education & Experience
- Bachelor’s degree from an accredited university
- 3 – 5 years of leasing and/or management experience with profit loss responsibility.
Financial Knowledge
- Basic background of bookkeeping or accounting theory and procedures.
- Knowledge of financial terms and principles.
-Ability to compute interest, profit and loss, commissions, escalations, ratios and proportion, and percentage
Communication Skills
- Ability to write professional well structured reports or proposals.
- Ability to comprehend, analyze, and interpret complex business documents. Ability to write reports, proposals, manuals, and marketing materials using distinctive style. Ability to effectively respond to sensitive issues, complex inquiries, or complaints from tenants, supervisor, management. Ability to make effective verbal and written proposals on spaces for lease with interested parties. Ability to motivate interested parties to take desired action.
Reasoning Skills
- Ability to solve problems and deal with a variety of options in varying situations. Requires analytical and quantitative skills.
- Ability to apply principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Other Skills
- Must be self motivated
- Requires persons that are very organized and detail-oriented.
- Must be computer literate and proficient in MS Office, Word, Office, and Excel.
- Ability to multitask
- Ability to visually inspect the properties.
- Ability to meet highest attendance and punctuality requirements.
- Ability to calculate surfaces, volumes, weights, and measures.
