Executive Assistant - Oakland

The nation's largest commercial real estate firm specializing in the brokerage and research of apartment communities, is seeking a professional and enthusiastic Executive Assistant in their Real Estate office.  Position is in Oakland, CA.  Candidates must have 3 – 7 year of relevant work experience and the following abilities:


* Excellent administrative and organizational skills as they will be the sole support for an active local office.
* Detail and process oriented – this position requires considerable coordination and follow-up.

* Ability to initiate and work multiple priority projects concurrently.
* Strong written and verbal communication skills due to constant client interaction.
* Ability to establish priorities, work independently and efficiently.

* Ability to handle and resolve problems.
* Knowledge of current office procedures and methods including telephone communications, processing incoming and outgoing mail, ordering office supplies, office equipment maintenance and operation, inventory control and file creation and maintenance - both electronic and hard copy.
* Requires initiative, accuracy, diplomacy, personal judgment, professional appearance and conduct.
* Strong computer skills, particularly Excel applications.


Candidate must be able and willing to take an active role in all of the office sales transactions by coordinating all listing and sales information and insuring compliance with corporate policies and procedures. The Executive Assistant prepares listing agreements, extensions, purchase and sale agreements and documents required for escrow, and keeps all legal files organized and updated. Research responsibilities include conducting rent surveys and maintaining various internal databases. Additionally, this position requires active and ongoing coordination with the corporate office on the preparation and distribution of marketing materials for local sales packages and presentations.


Position requires:

 

* BA/BS degree or equivalent education and experience;
* Excellent computer skills, including database experience and the mastery of Word, Excel and Outlook;
* Experience in running an office preferred;
* Real estate experience highly preferred;
* Strong math skills (financial analysis);
* Local candidates only;

* This is a non-management position.
