Executive Assistant & Office Manager

We are looking for the right candidate to provide administrative support as the Office Manager and Executive Assistant at our corporate office located near Lake Merritt in Oakland. This a a very busy and growing property management firm.

 

If you would like to work with a fun and energetic team, than this is the right position for you.  The Office Manager/Executive Assistant wears a variety of hats and day-to-day responsibilities can be quite varied. We need someone that is multi-talented and can provide expertise and assistance in several areas.   Some of the roles include:

 

Administrative:

*  Assisting the President of the company and key managers to conserve their time

*  Welcoming guests and customers

*  Managing correspondence

*  Answering phones, faxes, filing; scheduling calendars and meetings

*  Developing and maintaining filing systems

*  Preparing investment and operations reports

*  Maintaining office supply inventory and equipment operation

*  Providing excellent customer service to clients and residents

* Overseeing other administrative and/or temporary staff

 

Operations:

* Developing training programs for new employees

* Create industry-specific presentations for various events

* Create and design company marketing material

* Assist in overseeing community policies and procedures

 

Human Resources:

* Process payroll

* Assist in recruiting, orientating and training new employees

* Administer company benefits including medical, dental, 401k

* Monitor staff calendar and process time-off requests

* Maintain employee database

 

IT Management

* Manage Company servers, network, IT equipment and users

* Research, purchase, and set-up new office computers, related equipment and related software with support of outside IT consultant

* Provide IT troubleshooting support to company employees as necessary

* Provide training and create manuals for IT systems and software as necessary

 

 

The ideal candidate must possess excellent interpersonal/customer service skills, be self-driven and have the ability to follow through with minimal supervision.  A person with a great attitude and an upbeat personality, that can multitask, and who has the desire to work in the multifamily real estate industry, would be an excellent candidate.  You must be highly organized to manage a variety of tasks at the same time, and not afraid of a challenge.  Attendance and punctuality are critical.  Computer Proficiency is required.  College degree and/or legal experience preferred.
