POSITION DESCRIPTION POSITION TITLE: Program Assistant (EXECUTIVE ASSISTANT) I. POSITION SUMMARY: The Company Program Assistant provides administrative support for the Director of Business Development and key staff members. The Program Assistant is responsible for supporting the work of business development, leasing, and property management, and undertaking special assignments as directed. The Program Assistant is also responsible for supporting the diverse administrative activities of Company’s President & CEO. All administrative staff work in a team to assure the offices are efficiently operated and goals are met. The duties of the Program Assistant include coordinating and undertaking specified assignments with the Company’s Executive Assistants. This position requires flexibility in handling multiple tasks, ability to manage time and a heavy workload, and ability to work in a team environment. Other requirements include excellent organizational and computer skills, sound professional judgment and manner, initiative, effective communication skills and the ability to deal with a wide variety of people. Responsibilities are exercised under pressure of deadlines. II. POSITION BACKGROUND Company. Is a training business that reclaims blighted properties and builds value – skills, jobs, businesses, and assets – in the neighborhoods by developing and managing projects that are planned, designed, built, owned, and serviced by the community. III. PRIMARY FUNCTIONS AND RESPONSIBILITIES Administration Draft memos, correspondence and monthly updates. Coordinate internal and external meetings. Take and distribute meeting notes. Maintain the Business Development Director’s calendar, schedule appointments. Provide support for preparation and follow-up of meetings, including notices, phone calls, and follow up letters and memos. Create, produce and distribute required materials for meetings. Coordinate the Business Development mailings, assuring all data is consistent and coordinated with the central list management strategy. Assist with travel & workshop planning and reimbursements. Maintain inventory control and order supplies. Oversee operation of office equipment. Assure all files, including contracts, leases and legal documents, are maintained and in order. Maintain electronic and paper filing systems. Reconcile Visa, Costco and Home Depot expenses/receipts. Support President & CEO as needed. Business Development Coordinate and support Merchants Association meetings Coordinate and Support Business and Leasing Team and internal Business Team Coordinate business planning and partnership meetings with business owners and/or managers Support JCNI-owned businesses as required Support business marketing and promotional activities Collect and maintain consistent employment data for businesses and contractors. Maintain all records of the Program Related Investment’s that require tracking and reporting by the Business Development and Property Management Teams. Property Management & Leasing Support property management activities. Develop and maintain all property information records. Catalogue and maintain property maintenance records and photo files. Assist in expediting the processing of documents. Assist in the development of leasing brochures. IV. QUALIFICATIONS: A. Abilities Ability to plan, organize and perform duties with minimal supervision and a high degree of accuracy and attention to detail. Ability to work in an environment where work flow is directed by other team members. Ability to exercise independent judgment and make decisions under stress of high volume activities and deadlines. Ability to communicate diplomatically with a wide range of people, including Board members, community members and leaders, and agency representatives. B. Skills: Clear, concise oral and written communication style. Organized work flow. Efficient planning and follow-up. Required computer skills as identified by the Director of Business Development Ability to change priorities and meet deadlines. Accuracy and attention to detail. C. Experience: Minimum of five years of administrative or secretarial experience. Demonstrated high computer proficiency with word processing, spread sheets, desktop publishing and data base management programs. D. Education: High school diploma required. Education or professional training beyond the high school level preferred. V.
